The Estimating/Coordinating role is a vital member of the Chantelle team, responsible for delivering in all areas and aspects of producing quotations which vary in size and complexity and seeing a successful order through to delivery. The estimator aspect of the role is to identify labour, material, and time requirements by studying proposals and specifications from the client and engaging with internal teams to understand manufacturing and component requirements. This also involves working within client’s budgets and timescales and offering not only Chantelle’s products but also alternative products to meet customer expectations. The project coordinator aspect of the role is responsible for seeing through their own orders and delivering in all areas of leading, organising and controlling project activities, under the direction of senior team members & management.
Both roles require an excellent customer service ability, to ensure customers are communicated with throughout. Firstly, to ensure we meet their budgets and design specifications through quotations. Secondly, to ensure Chantelle Lighting delivers the promise made through on-time production, supply chain management by achieving in-time deliveries for all orders.

12. Able to meet deadlines and all target dates set by the customer, office manager, and production supervisor throughout the enquiry and project (advising the customer and internal teams of any delays).
DAILY RESPONSIBILITIES
1. Excellent communication to ensure customer service levels are kept to a very high standard with the customer at all times. This also includes communication with site contractors. To effectively and accurately communicate relevant project information to the client is crucial.
2. Ask all relevant questions at the earliest opportunity to the client to ensure a quotation can be started and returned as quickly as possible to meet deadlines, not only for the client but for deadlines determined by managers in which an enquiry should be returned.
3. Ask all relevant questions at the earliest opportunity to the client to ensure production can begin to meet deadlines.
4. Extract relevant information from specifications and site drawings provided by customers ensuring all items are priced for – or in the occurrence we cannot price for something this must be communicated with the customer.
5. Produce manuals/presentations for clients in the event alternative products to their specifications have been offered.
6. Gather quotations for parts/materials/products from external suppliers ensuring the most competitive price is always achieved. All information must be documented and kept on the internal system, NetSuite.
7. Produce official quotations once all information has been gathered.
8. Chase clients for completed quotations to ensure we are up to date with all outstanding enquiries and whether they have been won, lost, or on hold etc. With a view to win all quotations, must provide opportunity to discuss with management if further discount or shorter lead times could be offered in order to win the order.
9. Be involved in design meetings once an enquiry has been ordered for your input into how it has been priced and detail regarding concepts of manufacture.
10. Produce documentation for new and existing products for each order using the template documents and systems in place.
11. Issue Purchase Orders for component parts within their remit, chase orders and chase other members of staff who also issue orders for their project. Overall ensuring that all parts arrive within the target deadlines so that manufacture can begin within the target deadlines given to the production team.
12. Assist the Project Team in the review of supplier quotations to ensure that only fair and reasonable pricing is recommended for approval. To ensure to keep in mind that the best price possible is strived for during all ordering tasks.
13. Create sales orders for invoicing and booking out component parts purposes.
14. Create project manuals for both the file and the production supervisor including images and reference numbers.
15. Provide clear, accurate and up-to-date information and schedules regarding each item going through production is essential to the role. Communicating information to relevant team members, such as change in schedule dates, changes in the project’s requirements, unforeseen complications etc.
16. Update delivery calendars and ensure collection boards are up to date.
17. Be involved in daily production and delivery meetings with the team. Being involved in production meetings enables the coordinator to track the progress and quality of work being performed by the production team.
18. Use project scheduling and control tools to monitor projects to ensure all the above is met within the deadlines therefore reducing chances of mistakes when memory is relied on.
19. Keep the Office Manager informed about project status and issues that may impact client relations that they may not be aware of or that they feel may need dealing with from a higher level.
ADDITIONAL RESPONSIBILITIES
1. Attend client and site meetings, when necessary, with or without management.
2. Willing to take on the task of another member of staff within your team where possible in the event of absence to ensure enquiry/order deadlines are still achieved E.g. ordering raw materials or other components outside of the project coordinator remit in the event the production admin staff member is absent.
3. Willing to assist another department where possible to ensure project deadlines are still achieved. E.g. helping to pack items if production is behind schedule for the carrier service.
4. Send weekly reports to the dashboard detailing outstanding enquiries being chased.
5. Keep enquiry logs up to date so that Management can monitor workload and percentage of enquiries returned against enquiries won.
6. Keep order logs up to date so that sales figures can be monitored by management.
CUSTOMER SERVICE RESPONSIBILITIES
1. Help Office Manager to improve customer service experience – in line with logging customer service issues/customer complaints & generating a report.
2. Organise regular customer service meetings where necessary.
3. Help office to deal with customer issues and follow problems through to resolution.
4. Understand company policies, develop, and help to implement new policies or improve policies if required.
