Stepnell has a fantastic opportunity for a trainee administrator who wants to start their career. We are currently looking for someone to join our friendly and supportive team based at Myson House, Rugby. You will be working as part of the regional team alongside trained professionals and managers to deliver work to the highest standards. Assisting a number of departments to provide administrative support for our busy construction team both in the office and on-site. You will gain competencies in a wide range of administrative duties and gain a general understanding of the construction industry.
Key responsibilities
The job role of a trainee administrator involves the following duties:
* Administrative support with the preparation of correspondence including letters and reports where necessary.
* Welcoming visitors to the office – including assistance with signing in and providing beverages if required.
* Assist the Office Manager in answering and diverting incoming calls from the main telephone line.
* Assist in maintaining the new ‘Sign-In’ system.
* Manage any post received.
* Process invoices for site purchases.
* Help manage stationery orders.
* Deal with engineers called to deal with any faulty equipment.
* Support the Business Development Manager – this can be updating the Customer Relationship Maintenance (CRM) Database, providing reports from the CRM.
* Assist the Social Value Manager by collating information to provide monthly dashboard and KPIs.
* Provide assistance to the Design Team by completing job trackers, printing drawings, updating drawings registers and minute meetings if required.
* Provide back-up support to the Preconstruction Team downloading information to the relevant job files, monitoring internet based information portals, produce, distribute and chase enquiries.
* Ensure that communal areas are kept tidy and stocked where necessary.
* Manage meeting room bookings.
* Print drawings required by the Joinery and Property Services Teams.
* Liaise with all other offices when required
