Job Description
The Senior Operations Support Administrator is the first point of contact for the passive division, consulting with the relevant department to achieve client expectations and responding to the requests of high-profile clients within the Fire and Security Industry.
1. Development and implementation of operational procedures for the Passive Fire division to drive efficiency and meet KPI requirements, including SimPro / Plan Radar and other software solutions adopted by the Passive Fire division.
2. Assisting compliance with the correct onboarding of any suppliers or subcontractors to support the growth of the Passive Fire division.
3. Ownership of procurement for the division (materials and subcontractors).
4. Supporting the Head of Passive with audit preparation and third-party accreditation/approval compliance to ensure they are adhered to and maintained.
5. Liaise with clients, account coordinators, sales executives and engineers group-wide to book in planned maintenance and remedial works and complete associated tasks.
6. Responsible for the delivery of works within KPI deadlines for passive service visits and remedial works - checking that the jobs are financially viable and commercially correct.
7. Produce monthly performance reports covering P&L, pipeline, performance against budget for the board.
8. Providing risk assessment and method statements for planned maintenance works and managing access to site for works.
9. Addressing all emergency call outs within stated KPIs (within office hours).
10. To build and maintain strong client relationships and uphold a positive reputation of Senseco.
11. Prompt and accurate response to client enquiries and internal enquiries to prevent them from escalating into complaints, escalating to the Management Team where appropriate.
12. Monitoring of the generic Passive Fire email address.
13. Ensure all site-specific paperwork is obtained and processed promptly including (but not exclusively) worksheets and purchase orders in adherence to the company’s ISO procedures. This includes the prompt receipt of purchase orders, chasing where not received and processing of engineer’s worksheets.
14. Ensure that communication is maintained throughout the business with a view to cost saving use of labour is maximised and make efficiencies to ensure revenues and margins are maximised.
15. Produce passive remedial quotations following client requests and PPM attendances and manage the diary of the Passive Fire division, ensuring all engineers have consistent work booked in.
16. Collate and produce passive fire reports where required.
