Key Responsibilities:
Diary and Schedule Management:
* Assist in organising and managing diaries & schedules, coordinating appointments, and arranging internal and external meetings.
* Ensure all teams and departments have updated access to relevant schedules, adapting to shifting priorities as needed.
* Anticipate scheduling conflicts and proactively manage diary adjustments, prioritising high-impact activities.
Meeting Coordination and Documentation:
* Prepare meeting agendas and materials in advance to support productive sessions.
* Attend meetings to take accurate, timely minutes, capturing key discussion points and actions.
* Distribute minutes and follow-up documentation, ensuring actions are tracked and completed within appropriate timelines.
General Administrative Support:
* Handle day-to-day administrative tasks such as filing, data entry, document management, and office supply coordination.
* Serve as the primary point of contact for administrative queries, responding promptly and effectively to support requests.
* Prepare and edit correspondence, communications, presentations, and other documents as required.
Project Support:
* Assist with the planning and coordination of team events, projects, and special initiatives.
* Provide logistical support for departmental activities, ensuring all aspects of planning and execution are handled efficiently.
* Monitor progress on administrative tasks within projects, maintaining clear communication with relevant stakeholders.
Reporting and Documentation:
* Maintain accurate records, files, and databases relevant to departmental activities, ensuring information is organised and accessible.
* Support the preparation of reports, summaries, and presentations for team and leadership review.
* Track and report on key administrative metrics, offering insights to help optimise workflow.
Health & Safety:
* To maintain H&S compliance and get involved with H&S meetings.
* Work with onsite HSE champion to ensure Silver and Gold standards are delivered and maintained in your area of business.
* To ensure H&S training is completed in accordance with legal and company requirements.
* To personally demonstrate that you take responsibility for your own health and safety and that of others.
Required Skills and Qualifications:
* Excellent organisational abilities with a high level of attention to detail and accuracy.
* Strong verbal and written communication skills.
* Ability to manage multiple priorities and organise time effectively.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with diary and scheduling tools.
* Previous experience in an administrative or coordinator role is preferred.
