15 hours per week divided to work within the weekdays to provide support to the ward manager so that effective, efficient administrative service is provided for day-to-day operation of the ward.
To contribute to the efficient management of the ward environment in order to enhance the experience for patients in the hospital by supporting the ward manager in terms of audits, duty rosters, appraisal, sickness management, and all other administrative duties essential to the smooth running of the ward.
To contribute positively to the effectiveness and efficiency of teams in which you work.
Main duties of the job
1. Utilise IT systems to secure and record timely and accurate data relevant to the role and function.
2. Become competent and able with using the Online Transport Booking System.
3. Become competent and able with using Real Time Bed State (RTBS), CareFlow (or other Patient Administration Systems).
4. Become competent in using Health Roster, EPR Live, SafeCare or other electronic rostering system used by the department.
5. Participate in audits, surveys to include patient feedback and development activities as instructed, keeping up to date with changing practices.

Job responsibilities
1. To deal with incoming telephone calls (from other trust staff, patients, company representatives, and external service users) in an efficient and courteous manner, making decisions as to those requiring re-routing to the correct member of the team.
2. Organise meetings, including venue, refreshments, and invitations as required.
3. To take initial receipt of all incoming correspondence, telephone, written and verbal enquiries as appropriate.
4. To attend meetings relevant to the Renal Ward Administrator.
5. To ensure that patient confidentiality is maintained at all times in accordance with the Data Protection Act/Caldicott, acting in accordance with BSUH NHS Trust policies.
6. To demonstrate extreme tact, diplomacy, patience, and empathy in the course of considerable client/patient contact, both in person and over the telephone.
7. To impart clear, concise appointment-related information to clients/patients.
8. To use interpersonal skills to interact with a variety of patients and to put each individual at ease on arrival to ward desk.
9. To communicate effectively and work collaboratively as a member of the Multidisciplinary team.
10. Communicate at all times with tact and empathy, and interact appropriately with patients and relatives/carers where barriers to communication may exist (e.g., challenging behaviour, varying levels of ability, where English is not the first language). Fully participate in multidisciplinary case conferences, where requested to attend.
