Are you a highly organised and proactive Executive Assistant who excels in fast-paced environments, providing top-tier support to senior leaders and ensuring smooth business operations? Do you have a talent for managing intricate schedules, coordinating high-level meetings, and delivering exceptional administrative and communication support? We are seeking a dedicated Executive Assistant to provide comprehensive support to our Director and Senior Leadership Team. In this role, you will play a pivotal part in ensuring the efficient running of day-to-day operations, managing executive-level correspondence, overseeing internal and external communications, and contributing to the development of our employer brand.
What you'll be doing:
1. Deliver high-level executive support to the Director, including diary management, meeting coordination, and administrative tasks.
2. Prepare the Director and Senior Leadership Team for meetings by organising agendas, briefing materials, and documenting key actions.
3. Manage internal and external communications, crafting clear and engaging messages for diverse stakeholders and maintaining communication channels.
4. Coordinate and facilitate key meetings, including weekly updates, monthly town halls, and governance sessions.
5. Arrange travel for UK and international trips, ensuring smooth itineraries, visa processing, and logistical support.
6. Organise and oversee VIP visits, collaborating with senior stakeholders to ensure seamless planning.
7. Assist with financial administration, including raising purchase orders, managing invoicing, and handling recharge processes.
8. Contribute to the development of our employer brand by maintaining social media presence, updating intranet content, and supporting wellbeing and inclusion initiatives.
What you'll bring:
1. Proven experience providing executive-level support at Director or C-suite level.
2. Exceptional organisational and time management skills, with the ability to anticipate needs and prioritise effectively.
3. Strong interpersonal and communication skills, with the ability to craft strategic business narratives.
4. Advanced proficiency in IT software - Outlook, MS Teams, Word, Excel, PowerPoint, Adobe, DocuSign, and SharePoint.
5. Experience managing internal and external communications, with a talent for creating clear and engaging messages.
6. Ability to manage complex diaries, meetings, and travel arrangements.
7. A proactive and adaptable approach, thriving in an environment with shifting priorities.
8. Confidence in preparing presentations for internal and external audiences, including senior stakeholders.
Hybrid working:
This role offers a mix of office and home working. You’ll be based at our client's Peterborough office which boasts a modern, recently renovated workspace.
