Our client is looking for an experienced Business Support Officer.
Specific responsibility for the provision of administrative services to the Employment Services team. To operate with minimum supervision with regards to the day-to-day planning, organisation and performance of duties; ensuring that photocopying, filing, mail distribution, specified correspondence and basis data input duties are correctly and promptly undertaken.
Provide clerical support primarily to the Employment Services team through photocopying, filing, faxing, emailing, completion of standard forms and responding to routine correspondence.
Update manual and computerised records/management information systems to defined standards. To contribute to the development of improved procedures to provide support in the provision of an effective Employment Service Centre service.
Undertake word processing and other IT based tasks using Microsoft applications and iTrent. Assist and support the Employment Services function in the collation of interview packs, monitoring reference requests and assisting with vacancy bulletins.
Receive, sort and distribute mail, internal correspondence and forms. Maintain and update an effective and secure filing system for employee records and general correspondence to allow for the effective retrieval of records. Undertake associated filing and archiving.
Prepare and produce pension related documentation for new appointments and changes to contracts and personal information.
Contribute to the accurate and timely payment of monthly and weekly payrolls to agreed timescales by preparing and inputting temporary pay information.
Organise and prioritise own workload anticipating fundamental day-to-day problems and as appropriate resolve them on own initiative and/or in direct liaison with colleagues.
Respond to routine written, verbal and electronic enquiries and where necessary update the appropriate systems.
Maintain the Certifying Officer signatory database and ensure that all HR and Payroll requests for change received within the Employment Services Centre are properly authorised.
