Job Overview:
We are seeking a highly organized and dynamic Operations Manager Assistant to support our courier company's operations team in ensuring efficiency and smooth business processes. The ideal candidate will assist in administrative tasks, logistics coordination, CRM management, sales outreach, and customer service. This role is perfect for someone with strong multitasking abilities and a keen eye for operational excellence in the fast-paced courier industry.
Key Responsibilities:
1. Administrative & Operational Support:
Manage schedules, dispatch coordination, and email correspondence across multiple platforms.
Compile company logistics data and generate reports for operational improvements.
Assist in streamlining delivery processes and identifying areas for efficiency enhancements.
Support recruitment, onboarding, and training programs for new employees.
2. Courier Logistics & Customer Service:
Track and monitor deliveries, ensuring timely and accurate order fulfillment.
Communicate with drivers and delivery personnel to optimize routes and reduce delays.
Handle customer inquiries, complaints, and feedback professionally.
Maintain records of deliveries, customer interactions, and service efficiency metrics.
Implement customer retention initiatives to enhance client satisfaction and loyalty.
3. CRM & Website Management:
Maintain and optimize the company’s CRM system to manage customer interactions and logistics tracking.
Oversee website updates, service information, and booking functionalities.
Perform data entry and ensure accurate courier records and documentation.
4. Sales Outreach & Contract Completion:
Research and identify potential leads for business expansion.
Assist in the outreach process to engage with prospective clients and partners.
Support the preparation and completion of contracts and sales agreements.
Track and follow up on sales inquiries to ensure successful conversions.
5. Marketing & Business Growth:
Assist in managing digital marketing efforts, including social media content and campaigns.
Oversee customer engagement on platforms such as Facebook, Instagram, and LinkedIn.
Execute email marketing campaigns and promotions to enhance customer retention.
Assist with job postings and outreach efforts to attract top talent.
6. Performance & Cost Optimization:
Track and analyze delivery performance metrics, including on-time delivery rates and customer satisfaction.
Identify areas for cost reduction and operational efficiency improvements.
Assist in managing Google Ads and Facebook campaigns to enhance online visibility.
Monitor key performance indicators (KPIs) to measure success across different business areas.
Qualifications & Skills:
1. Strong organizational and time management abilities.
2. Excellent communication and interpersonal skills.
3. Proficiency in Microsoft Office Suite, CRM platforms, and logistics software.
4. Ability to multitask in a fast-paced, deadline-driven environment.
5. Detail-oriented mindset with strong problem-solving capabilities.
6. Prior experience in courier, logistics, or supply chain operations is a plus.
7. Experience in sales, lead generation, or contract management is advantageous.
