Team Assistant
Location: Southwark
Contract: Up to £48,000
Work Arrangement: Hybrid – 3 days in the office, 2 from home
Real Estate company is looking for a Team Assistant to support their Managing Director. They are a London-based interdisciplinary real estate development studio that creates disruptive hospitality brands across the UK and Europe.
The successful candidate will work remotely for two days per week, with the other three days in their city office. Hours are 9:30 – 5:30.
What You’ll Do
* Report to the Managing Director until the Executive Assistant returns from maternity leave.
* Manage the diary for the Managing Director.
* Arrange ad-hoc meetings for other team members.
* Organise all team meetings/staff events – quarterly safari (day trip), annual offsite, and Christmas lunch/party.
* Book all travel for the team using the company card.
* Handle expenses for the Managing Director and Acquisitions Director.
* Upload all invoices to Accounting software – FreeAgent and match with bank transactions.
* Liaise with HR advisors for consulting agreements, employment contracts, and company policies.
* Liaise with IT for laptops for new starters, setting up email accounts, and addressing any IT or software issues.
* Coordinate with the team on office-related matters, key cards, and memberships for new starters.
* Provide personal support for the Managing Director as needed, including online banking, purchasing gifts, car administration, personal meetings, and some travel.

* Excellent Outlook skills are essential, with a proactive attitude when managing diaries and logistics.
* Able to manage competing time-sensitive priorities and tasks.
* Demonstrates dependability and high attention to detail, along with the ability to multi-task.
* Displays a consistent, professional degree of communication skills in person, on the phone, via Zoom, and by email at various levels.
* Comfortable working with people at all organizational levels, both internally and externally.
* Must be a team player and work well under pressure within a changing environment.
* Flexible and adaptable to work and support across multiple teams.
* Resourceful and able to use initiative in solving issues.
* Discreet in dealing with confidential business matters.
* Friendly, polite, and approachable with a “can do” attitude.
