Property Administrator Job ID 193576 Posted 05-Mar-2025 Service line Advisory Segment Role type Full-time Areas of Interest Administrative, Property Management Location(s) Birmingham - England - United Kingdom of Great Britain and Northern Ireland About the Team Property Management UK's newly formed Property Inspections Team provides an inspections service for most FRI managed properties for the Surveyors based around the UK. Once recruited, the team will initially comprise of five people based in various parts of the country. Role Purpose We are looking for an Inspections Coordinator to join the newly formed Property Inspections Team. You will work closely with the Inspections Manager, the Inspections Team within the wider Property Management UK Team, to arrange and coordinate property inspections. In addition to you will provide support and administrative duties as detailed in the key responsibilities below. Key Responsibilities - Work with the Inspections Manager and the Inspections Team to ensure all FRI properties are inspected on schedule and in accordance with CBRE SOP's, Policies - Work with the Systems, Dashboards and Databases to ensure end-to-end reporting to the regional surveyors and the SLT - Planning and coordination of inspections with the occupiers and the allocation of appointments with the Inspection Team - Manage calendars and the scheduling of appointments - Manage the flow of key documentation and communications - Ensure property data and records are up to date using the core systems; Property Contact Database (PCD), Pulse, etc. - To plan, prioritises and manage workloads effectively to meet internal targets, deadlines, and Client's KPIs - Use the dashboards and system tools to undertake data analysis and assist the Inspections Manager with reporting - Provide day to day support to the Inspection Team - Build and maintain strong relationships and internal networking with surveyors and other stakeholders to understand their needs and manage expectations - Respond in a professional and timely manner to incoming enquiries - Deliver an exceptional service to meet the Inspection Team's objectives - Ensure high standards of service and performance to maximise efficiencies and add value - Contribute to the growth and development of the Property Inspections Team Person Specification/Requirements Essential - Excellent communication skills (verbal & written) and numeracy skills. - Strong administrative abilities, including document management and record-keeping. Good attention to detail is vital. Ability to work methodically and in a highly organised manner. - Task oriented and self-motivated, with ability to prioritise work so deadlines are met in a timely and accurate manner. - Thrives on working as part of a team and achieving team goals. Pro-active, uses initiative and is a good team player. Prepared to make pro-active suggestions to agree changes to processes with their line manager. - A self-starter with a "can-do" and flexible attitude. - A strong background in customer services. - Ability to work independently and in a logical and disciplined manner, ensuring accuracy and making appropriate use of available technology. - High Standard of MS Office product knowledge & good administration skills. Desirable - Experience with Property Management and Work-flow systems - Previous experience in commercial Real Estate would be advantageous but not essential.
