What We Are Looking For
Are you passionate about luxury travel, delivering outstanding service, and ensuring seamless guest experiences? If so, this could be the perfect role for you.
As the Reservations and Guest Experience Coordinator at Privadia, you will play a pivotal role in providing exceptional experiences for our travel agency partners, property owners, and guests. Your responsibilities will fall under three main areas:
1. Guest Experience
* Be the main point of contact for travel agency partners and their clients (or directly with clients), providing tailored, detailed information about villas and the surrounding areas.
* Coordinate transport to villas and liaise with check-in staff or house managers to ensure smooth arrivals.
* Resolve any issues during a guest’s stay by working closely with house management teams, ensuring quick resolutions.
* Post-departure, liaise with house managers to handle damage reports and coordinate claims if needed.
2. Reservations
* Manage the end-to-end reservation process in our CRM system, ensuring all client and booking details are accurately updated.
* Send electronic contracts, manage payments, and collect damage deposits where required.
* Keep property owners and management teams updated on booking details, guest information, and timelines.
3. Concierge Services
* Offer and arrange premium concierge services like car hire, private chefs, and luxury boat charters, ensuring a bespoke guest experience.
* Negotiate pricing with suppliers, confirm bookings, and handle invoicing while ensuring accurate records are maintained in our systems.
What You’ll Deliver
* Provide an outstanding luxury guest experience, acting as an advocate for Privadia and ensuring a seamless journey for travel agencies and their clients.
* Manage reservations with attention to detail and efficiency, ensuring all systems are up to date and bookings are processed smoothly.
* Maintain clear and open communication with agencies, guests, property owners, and house managers to ensure everyone is informed and aligned. • Handle damage deposit collections and manage post-stay claims professionally.
* Ensure smooth check-ins and check-outs by coordinating with house managers and addressing any guest concerns during their stay.
* Organise and manage concierge services, including providing quotes, booking, and coordinating with suppliers, while ensuring precise invoicing.
* Assist with general administration tasks and support the Portfolio team during quieter months, updating property details and onboarding new listings.
Your Profile
• An eye for detail, with a strong commitment to delivering an exceptional service.
• Previous experience in a similar role within the travel, tourism, or leisure industries.
• Based primarily in the UK but comfortable with occasional travel to the destinations we operate in.
• A natural communicator, with the ability to build positive relationships and resolve issues professionally.
• Organised, proactive, and able to manage multiple tasks in a remote work environment.
• Confident in using cloud-based tools and CRM systems.
• Fluent in English, with excellent written and verbal communication skills. Knowledge of Spanish is a plus.
• A suitable remote working environment with the ability to commute during the training period if required.
The Package
• Competitive starting salary from £29,000 (depending on experience and skills) for a 40-hour week, plus commission on completed concierge sales.
• Flexibility is key: during peak season (May to September), working hours will include Saturdays, but outside of this, we offer a Monday to Friday schedule.
• At least 28 days of holiday per year (including bank holidays) plus a “You Day” near your birthday. Holiday availability may be limited during peak months (June, July and August).
• We pride ourselves on offering flexibility in our working hours, with days and hours varying based on guest arrivals and departures. We value candidates who can adapt to this dynamic schedule.
