The role
JDO Global is seeking a proactive and highly organised Office Manager to oversee the smooth running of our Tunbridge Wells studio. This role is central to ensuring our team has the tools, environment and support to create world-class design.
This is a full-time, office-based role, requiring a highly motivated individual who thrives in
a fast-paced, creative environment. You will manage office operations, HR administration, travel coordination and health and safety, with occasional support for our other offices in London, Shanghai and New York.
The role is based in our Tunbridge Wells Studio and the hours of work at 9am to 6pm, Monday to Friday. Please note this role is not hybrid.
Key responsibilities
1. Office management
* Oversee the day-to-day operations of the Tunbridge Wells office, ensuring an efficient, professional and inspiring work environment.
* Manage office supplies, equipment and facilities, ensuring stock is well-maintained
and procurement is cost-effective.
* Coordinate office events, meetings and team activities, bringing creativity and attention
to detail.
* Supervise cleaning and maintenance staff, ensuring spaces remain organised
and inviting.
* Act as the primary contact for building management and all office-related matters.
* Maintain and organise all storage areas and archives (including samples), ensuring efficient retrieval, labelling and compliance with relevant regulations.
* Oversee goods in/out, including packaging and liaising with couriers, for studio
and remote team members.
* Greet visitors, manage reception and ensure hospitality (including preparing drinks
and meeting room setup).
* Maintain tidy shared spaces and reinforce a “leave it as you found it” culture.
* Manage office budgets related to supplies, equipment and facilities, ensuring
cost-effectiveness and adherence to purchasing processes in collaboration with Finance.
* Work with the Finance team to ensure procurement accuracy and supporting timely financial reporting.
* Improve waste management and ensure sustainable office practices.
* Liaise with tradespeople and assist with renovations, office moves, and layout planning.
* Work with Marketing and HR teams to reinstate small team perks like Friday treats, yoga sessions, or seasonal surprises to boost morale.
* Ensure the office layout is optimised for productivity and comfort, making adjustments
as needed.
* Implement and enforce office policies and procedures to support efficiency, security
and a positive work environment.
2. HR support
* Support recruitment by posting job adverts, scheduling interviews and liaising with candidates as guided by and proactively interacting with Global Head of Talent and HR.
* Prepare onboarding welcome packs and ensure new hires integrate smoothly into
JDO’s culture.
* Schedule and track probationary and performance development meetings, supporting managers with documentation.
* Help with administration of the HRIS system.
* Support employee engagement initiatives, from training coordination to wellbeing activities.
3. Travel coordination
* Manage travel bookings for the wider team, ensuring cost-effectiveness and seamless arrangements.
* Suggest and organise accommodation, transport and entertainment that aligns with JDO’s high standards.
4. Health & Safety
* Act as Health & Safety Officer, ensuring compliance and fostering a safe, productive workplace. (Training provided if necessary)
Experience/skills necessary
•Proven experience as an Office Manager or in a similar administrative role. (2 years plus+)
•Strong organisational and multitasking abilities.
•IOSH managing safely qualification (we’ll provide training otherwise)
•Excellent communication and interpersonal skills.
•Ability to work independently, take initiative, and manage multiple priorities.
