Personal Assistant/Office Manager - Maternity Cover (Approx. 10 months)
Aedifice Partnership are independent property consultants and chartered surveyors. We offer a wide range of client-focused property services for commercial, charity, local authority, and private clients including Project Management, Quantity Surveying, and Building Surveying services. We specialise in the Care Home sector but also operate in residential and education sectors amongst others. We are looking for an intelligent, self-motivated person who can communicate effectively at all levels and work efficiently in the office environment. It is likely that a candidate will have previous experience in a professional practice office environment.
You will be expected to manage the office and support functions for professional staff on a day-to-day basis including ordering supplies and generally organising the office environment so that it functions effectively and efficiently.
You should have good typing skills with some audio experience and have a good working knowledge of Word, Excel, and Xero; however, training will be available during the handover.
As the key and often first point of contact for clients and enquiries, you will be expected to deal with these efficiently and with understanding and offer intelligent support by understanding the functions of the business and the needs of the clients.
Although we do not require a high level of formal qualification for this post, you should have a good level of general education and be able to communicate effectively and with confidence with people at all levels in all forms of media, and be able to compose well-drafted professional written documents to a consistently high standard.
Key Responsibilities and Accountabilities:
Director
* Provision of secretarial support to the Director and team;
* Audio typing technical documents as well as general correspondence;
* Screening telephone calls, enquiries, and requests, and handling them when appropriate;
* Ensuring the Director is well-prepared for meetings;
* Organising and maintaining diaries and making appointments;
* Dealing with incoming email and post, often corresponding on behalf of the Director;
* Arranging travel and accommodation;
* Recording and publishing the outcome of in-house team meetings and recording agreed works programme.
General Office
* Producing and ensuring quality control of all documents, reports, invoices, and correspondence to the required standard;
* Generation of invoices and inputting of the same, checking and chasing outstanding sums using Xero accounts software;
* Meeting and greeting visitors and providing refreshments where appropriate;
* Liaising with clients, suppliers, and other staff;
* Devising and maintaining office systems, including data management, filing, etc.; such as copiers, printers;
* Office Management duties such as maintenance of office equipment, managing supplier contracts and accounts, and ensuring the entire office is running smoothly;
* Management of all company Social Media.
