With the rapid growth of our group of companies we are looking for a Sales Administrator to join our expanding team, helping to create the ambitious but achievable growth our customer focused business is capable of.
As the Sales Administrator reporting into the Head of Sales, you will be responsible for supporting our team of Sales Managers to process new customers and sales orders, but also responsible for our customer service - working closely with our purchasing, warehouse and quality teams to ensure our customers are aware of the latest updates regarding their orders.
This is a brilliant role for a high energy, experienced sales professional who is a strong communicator who naturally enjoys problem solving and wanting to help customers.
Role Overview
Responsible for the administration within the sales team by:
* Managing the Sales Email Inbox, responding where appropriate and assigning new enquiries to the appropriate Sales Manager.
* First responder to inbound phone calls for sales team.
* Supporting the Sales Managers, Finance Manager and Quality team to on-board new customers and their re-qualification by carrying out appropriate checks.
* Supporting Sales Managers inputting sales orders onto the ERP system.
* Managing customer orders on the ERP system, and ensuring customers are updated on sales order progress.
* Liaising with Quality and Warehouse teams to expedite orders.
* Being the primary point of contact for the customer, managing day to day activities such as sales order entry, handling enquiries, managing delivery expectations, chasing of outstanding orders as well as resolving issues and complaints - all within a timely and professional manner via phone or email.
* Helping Quality and finance with any supplier returns, invoice queries and credit notes.
* Managing the customer’s expectations fully throughout the sales process from initial enquiry to order completion.
* Completing all necessary sales paperwork accurately and on a timely basis in accordance with the company procedures to ensure GDP compliance.
* Liaising with wholesalers for regular orders.
* Conducting analysis of key accounts.
Inputting into, and achieving the targets and KPIs for the sales team.
Ensuring your GDP knowledge and training is up to date; operating within the company procedures and using the company systems to maintain our GDP data and ensure we adhere to GDP guidelines.
Required Experience and Skills
General Skills:
* Developing effective internal and external working relationships, using a customer focused approach.
* Being self-motivated with drive to help sales team achieve targets.
* Effective communication / presentation skills.
* IT skills: Windows, Excel, PowerPoint, CRM tools etc.
* Attention to detail.
* Identifying and communicate risks and to take necessary preventative measures pro-actively.
* Keeping up to date with regulatory changes and key industry trends through on-going self-learning, CPD and training.
* Obtaining and maintain up to date knowledge of Good Distribution Practice of Medicinal Products for Human Use & the Humans Medicines Act.
* Working in line with Firstline Pharma’s Code of Ethics to work with integrity, to build and maintain trusting and effective business relationships both internally and externally.
* Taking ownership and accountability.
* Proven time management and prioritisation skills.
Experience:
* 2-3 years experience in a similar role.
* Dealing with some of the following: pharmaceutical wholesalers, manufacturers, CMOs, MAH, CDMOs, CROs, pharmacies and dental practises.
Salary and Benefits
* Salary c. £25,000+ per annum.
