Assistant Business Support Manager – Patient Pathway
Are you looking for a role in a friendly, supportive innovative department? An exciting opportunity has arisen to join the Podiatry and Orthotics Service as an Assistant Business Support Manager - Patient Pathway. Working as an integral member of the Business Support Team, you will provide assistance and support to the Business Support Manager across a range of strategic and operational activities, including the delivery of Therapy Waiting time targets, performance targets and objectives, service improvements, and performance delivery.
The role also includes direct day-to-day operational administration line management to ensure efficient, safe service delivery, addressing changing priorities as and when they arise with the ability to effectively prioritise workload.
Main duties of the job
The post holder will work as part of the team to provide comprehensive coordination and administrative support service to the team and will:
1. Oversee the management of department Administration service on a daily basis.
2. Responsible for own workload and organisation of department clinics, diaries and waiting lists, through capacity and demand planning, prioritising, and accepting urgent demand where necessary.
3. Actively seek to ensure that all patients are treated within National targets set by the Welsh Government.
4. Understand patient pathways; monitoring progress and ensuring timely intervention is achieved.
5. Liaise daily with internal and external departments and services to ensure excellent patient care and service delivery.
6. Responsible for communicating with patients regarding various enquiries.
7. Ensure data is stored and shared through a variety of media including verbal communication, paper records, and internal and external electronic sources.
8. Undertake clerical and administrative duties as instructed by the Line Manager.
9. Provide regular data to the Service Leads regarding service capacity and performance and assist the Business Support Manager with line management responsibility for Admin Team Supervisor.

Person Specification
Essential Qualifications & Knowledge
* BTEC Diploma or NVQ 3 equivalent training/experience PLUS Advanced keyboard skills e.g. RSA III text/word processing or equivalent, in-depth knowledge and understanding of Legislation, Health Board Policies and procedures in relation to Sickness Absence, Maternity and Special Leave, GDPR etc.
* The Access to Health Records Act 1990 and the Freedom of Information Act 2000.
* English/Maths/IT GCE or equivalent to L2
* ECDL
* Substantive experience of working in an office environment clerical/administration experience within a service where data input forms a significant part of the workload
* Excellent IT skills with ability to use a range of packages especially Excel.
* Understanding of Waiting Lists Management, supervising staff & recruiting staff. Previous research/audit experience. Excellent knowledge of Referral to Treatment Rules.
Essential Aptitude and Abilities

* Demonstrate excellent verbal and written skills to provide and receive often complex highly sensitive & contentious information.
* Ability to use effective leadership and management skills using tact and diplomacy when working with others.

* Welsh Language Skills are desirable levels 1 to 5 in understanding, speaking, reading, and writing in Welsh.
