Job Description
The Brokerage Support function assists the brokerage team with the administration tasks and other duties associated to the department in general. This will include duties such as & not limited to:-
1. Original document processing & filing (manual, scanning, edoc)
2. Invoicing and file account (Invoice, Credits, queries, BNP’s, EDE’s)
3. Checking and maintaining spreadsheets related to administration/control of paperwork
4. Tracking/tracing & updating of CFIT events
5. Support with ETSF paperwork and inventory controls (i.e release notes & packaging out)
6. Booking in shipments within CFIT system
7. In addition to above, brokerage support staff will be expected to support with parts of the brokerage process as detailed below (subject to training and as time permits)
Customs Brokerage responsibilities:-
8. Ensure smooth and timely customs process flow.
9. Ensure accurate and timely client billing.
10. Understand all the elements of the import and export customs DLSOP (Desk Level Standard Operating Procedure) and correctly interpret this information to fulfill our customers’ instructions and expectations.
11. Ensure accurate and timely data entry into our operating system.
12. Transpose customs declaration information from documents, or other sources into the customs entry system to allow for the build of a valid customs declaration.
13. Assist with verification of customs declaration information and the submission of such to the customs authority.
14. Track and trace Customs files.
15. Interact with customs authorities to address any issues/questions that may arise during the clearing process.
16. Attend any customs inspections or present documents to customs authorities when such are requested.
17. Act as the liaison between the customs authorities (or other government agencies and customers)
18. Ensure timely customs clearance of cargo to customer for Import and Export shipments.
19. Verify documents received for Import and Export customs purposes are compliant and correct.
20. Interact with our customers in arranging their international shipments, meeting customer service standards.
21. Contribute to maintain strong relationships with customs officers.
22. Ensure compliance at all times to regulations. This includes internal policies and procedures such as Operational Process Standards (OPS) and external government regulations (eg. OEA) or customer policies / requirements.
23. Understand department process flow, constantly looking for areas of improved efficiency.
24. Keep up to date on all regulatory requirements governing the import and export of goods. This includes but is not limited to customs procedures for imports and exports, other government agency requirements i.e. health, agricultural, police and military, export controls and prohibited and restricted goods. Meet KPI standards, as per the company’s procedures.
25. Overseas communications, timely responses to emails and requests (internal and external)
26. Escalation of problems to Management when necessary
Qualifications
27. 6 months to 1 year related experience and/or training; or equivalent combination of education and experience.
28. Basic knowledge of customs brokerage process and system preferred
29. Basic knowledge of customs legislation, especially with regards to classification, valuation and origin.
30. Understanding of ocean and air documentationprocess.
31. Knowledge of air, road and ocean transport.
32. Good knowledge of incoterms
33. Effective interpersonal skills, including proven abilities to listen, comprehend, effectively communicate clearly and concisely to obtain positive results.
34. Pro-active, strong organizational skills.
35. Good computer skills (Excel, Word, PowerPoint).
