An exciting opportunity has arisen within the Integrated Community Care Directorate (ICC). We are seeking a full-time Administration Assistant to join our Centralised Business Admin Team (CBAT). This role is vacant due to staff moving on in their careers within the NHS, and reflective of the supportive environment that ICC has developed for its administrative staff.
CBAT is a small team that supports the whole directorate operationally ensuring that our community based clinical teams have everything they need when they need it. This is a flexible back-office role. You must be able to commute between the Northern General Hospital, Firth Park Clinic and Lightwood House.
The team also supports the ICC management team in the management of annual leave and absence and supports new starters with equipment and uniforms.
This is just a flavour of the role and how pivotal it is to the operational flow of the directorate.
Main duties of the job
To provide a high standard of confidential administrative support to the Community Intermediate Care Service by:
* Continuously working accurately to strict deadlines which are pre-determined by STH policies and procedures.
* Having the ability to communicate effectively with other internal departments within STH and members of the multi-disciplinary team by offering advice and solutions to all enquiries.
* Calculate staff annual leave entitlement upon joining and leaving the service, along with recalculation of any adjustments as and when they change their days/hours of work.
* Maintain records of staff annual leave.

Education & Qualifications
* GCSE English and Mathematics, at grade C/4 or above or equivalent qualification/experience
* NVQ Level 3 in Business Administration or equivalent experience
* OCR II or equivalent in Word Processing/typing or equivalent qualification/experience
* ECDL Parts I and II
Experience
* Appropriate experience in monitoring, processing, recording and reporting on staff sickness and annual leave.
* Experience of initiating and setting up monitoring systems to record appropriate information.
* Appropriate experience in an administrative role within an office environment.
* Microsoft Office skills at intermediate level – Word, Excel and Outlook, e.g. demonstrated by short courses or experience.
* Experience of working with minimum supervision.
* Experience of working within a healthcare setting.
* Basic knowledge of Primary and/or Community Healthcare.
* Ability to maintain accurate written records and statistics.
* Basic knowledge of the NHS.
* Knowledge of the Bradford Score Index.
* Knowledge of STH Policies (particularly Annual Leave Managing Attendance and Special Leave).
Further Training
* High level of Customer Care/Service skills demonstrated by course or experience.
* Excellent organisational skills, along with the ability to prioritise your own varied workload and meet deadlines.
* Good interpersonal, oral and written communication skills.
* Excellent telephone manner, demonstrating empathy, efficiency and patience at all times.

* Willing and able to carry out a range of office duties e.g. filing, photocopying, faxing and scanning.
* Ability to work as part of a team, yet also have the ability to act on own initiative and to specific instruction, whilst remaining driven to support the delivery of an administrative service for the Community Intermediate Care Service.
* Able to work under pressure and in a busy environment, whilst remaining calm and polite.
* Ability to multi-task.
* Willingness to work flexible hours to meet the requirements of the service.
