Job Purpose The Clinical Systems Specialist will act as the subject matter expert for SystmOne, CityCare's electronic patient record system. They will be responsible for the ongoing management and development of CityCare's SystmOne units, setting standards and processes to ensure the safe and effective management of its clinical system. The post holder will be responsible for providing operational support and guidance on the development of the clinical system. They will act as the point of specialist knowledge, enabling effective use and continued development to ensure that SystmOne supports clinical and business activities appropriately and efficiently. There will be a requirement to have insight into the strategic direction of digital services as aligned with organisational, ICS and national priorities. The post holder will be responsible for representing CityCare within the local community of health and social care providers and contributing to the development of Nottinghamshire-wide policies and guidelines around the use of SystmOne and its integration with other clinical systems. The post holder will be responsible for planning and organising the programme of work relating to SystmOne across the full range of CityCare community services. They will contribute to the development of a digital strategy for the organisation; identifying long term priorities relating to the clinical system, scheduling projects, and managing resources to deliver against requirements. The Clinical Systems Specialist will have responsibility for ensuring SystmOne training requirements are met across the organisation and that operational staff have the skills needed to use the clinical system effectively. They will work alongside CityCare's IT provider (NHIS) to develop training programmes for new and existing staff and will be required to deliver some bespoke specialist training for teams. Quality: The postholder will ensure that quality is considered as a priority within both service provision and solutions developed are adequately appraised for quality impacts Key Responsibilities Act as the subject matter expert for SystmOne; analysing, investigating, and resolving highly complex and novel problems; ensuring clear communication with all stakeholders. Be accountable for SystmOne design, development, and project related activity across all CityCare's clinical services, ensuring it is a resilient, effective solution. This will involve working with the Business Intelligence Team, Commissioners, the ICS and system wide groups to ensure that it meets requirements and aligns with local and national specifications. Provide specialist support, training, and advice on SystmOne and its use to support all aspects of care, service planning and accountability. Analyse technically complex change and project requirements, managing conflicting opinions to provide expert advice on the best solution for the organisation. Ensuring that changes to the system support effective clinical delivery as well as supporting business, organisational and national reporting requirements. Work alongside clinical colleagues and operational services, setting up new services and associated workflows. Actively engage with clinicians to ensure the system supports best clinical practice. Continuously look for improvements in the use of the application and processes, not only thinking of the current impact but also the longer and wider term effect of proposed changes. Responsible for undertaking a full review and assessment of systems configuration. To develop a plan and impact analysis of required changes to ensure that reconfiguration is in alignment with organisation settings and supports high standards of housekeeping. Responsible for the creation, improvement and management of policies, processes and standard operating procedures for the management of SystmOne. Provide and receive highly complex and sensitive information; liaise and communicate with clinicians, business staff and other digital service staff as necessary. These communications are made at all levels of clinical and non-clinical staff throughout the organisation and in the wider health community and require strong influencing and negotiating skills to ensure co-operation with requirements for change and to overcome resistance and barriers to understanding. Responsible for the implementation and roll out of Brigid, the SystmOne clinician facing mobile app. To provide system expertise in the delivery of complex and high priority system changes. To assess potential impacts of changes and the management of risks and issues. Responsible for the planning, development, review, upgrade and introduction of new SystmOne functionality to meet user/organisation requirements. Advise on innovative opportunities relating to SystmOne and support services in their strategies and initiatives to maximise service benefits. Actively keep informed about national and local developments including those relating to the business areas using SystmOne. Question and challenge SystmOne requests from services to ensure that requirements are accurately and fully understood and in line with organisational priorities. Liaise closely with the Business Intelligence Team to ensure that any proposed changes to systems do not have an adverse effect on the data collected by that department. Liaise closely with Nottinghamshire Health Informatics Service (NHIS) to negotiate priorities for projects relating to SystmOne, to raise requests for work as appropriate and to develop appropriate training packages and materials. Responsible for the allocation of the project pot of professional days purchased from NHIS for SystmOne project work; identifying priorities, approving project work and allocation of resources and ensuring sufficient resource is available to support services. Identify areas of potential risk and provide solutions and advice to reduce or mitigate risks using SystmOne expertise and creative problem solving. Effectively manage the expectations of services and the organisation in terms of system limitations and functionality. Engage with health and social care organisations within Nottinghamshire to ensure a system wide approach to initiatives and SystmOne developments is taken where this aligns with organisational priorities. Represent CityCare on the Data Leadership Alliance group, alongside other local health and social care providers, contributing to the development of Nottinghamshire-wide guidance and policies relating to clinical systems and their interoperability. Represent CityCare at customer, contractual and operational forums. Deputise for the Head of Digital Transformation where required.
