Business Support Administrator
Location: Bedfordshire (with some travel to other sites)
Contract Duration: Until March 2025

Main Purpose of the Role:
1. To provide an effective and efficient administrative service for Bedfordshire Police, including business support administration to the Local Policing / Crime & PPU / Intel / SSID department.
2. To contribute to achieving the vision, purpose and values of Bedfordshire Police.
Key Responsibilities:
1. Provide a range of administrative support duties for the Local Policing / Crime & PPU / Intel / SSID department, including:
2. Produce emails, letters, and other correspondence using MS Windows software and Bedfordshire Police ICT.
3. Book meetings, including sending agendas and background papers.
4. Liaise with appropriate people to ensure pre-meeting notes or briefings are obtained as required.
5. Attend meetings and prepare and maintain decision and action logs, ensuring that meeting documents are circulated promptly in accordance with agreed Service Level Agreements.
6. Maintain a comprehensive electronic filing/storage system for departmental correspondence and key documents, effectively using SharePoint and OneNote.
7. Provide diary management, including booking meetings and rooms on Police estates.
8. Provide transactional itinerary planning for appropriate travel when required.
9. Provide cover for team colleagues as required.
10. Control and handle documents in accordance with protective marking requirements.
11. Support the completion of individual and departmental records (e.g., time sheets, expenses, stakeholder lists, and hospitality paperwork).
12. Facilitate the resolution of ICT technical problems where possible.
Entry Requirements:
1. Good standard of verbal and written communication skills for correspondence and reports; able to communicate clearly and concisely face-to-face and over the telephone.
2. Strong administrative experience.
3. Ability to organise meetings.
4. Ability to work under pressure and manage deadlines.
5. Ability to prioritise workloads based on importance and timescales.
6. Strong IT skills with working knowledge of Microsoft Office, including MS Teams, Word, Outlook, Excel, PowerPoint, Mail Merge, SharePoint, and OneNote.
7. Able to work on own initiative and unsupervised, as well as in a team environment.
8. Experience dealing with people at all levels.
9. Able to undertake administrative work accurately and methodically.
10. Experience working within a customer-focused environment.
