We need an After School Club Operations Manager from June 2025 to cover the current post holder's period of maternity leave until Easter 2026.
OVERVIEW OF ROLE
To be responsible for the smooth running and high quality of the two Active Club programmes in Oxford
Working at clubs as Manager/Activity Leader as staff cover at clubs as necessary
HOURS
Flexibility is key to the success of this post holder - hours are as a guide but may vary from week to week according to staffing needs at Active Clubs
30 hours per week
Monday to Friday
Core Hours 11am 5pm, with 30 minutes unpaid for lunch
When working at Active Clubs you will finish at 6.00pm
Occasional 7.30am starts at Breakfast Club may also be necessary
You will also need to be on call outside these times when staff call to notify of absences
LOCATION
You will be based at Head office in Kidlington, but will also need to work at our two Active Club locations in West Oxford and Kennington, Oxford.
KEY DUTIES
Planning
Manage and maintain a budget of all costs involved in running the programmes
Meet with schools and business partners on a regular basis as required
Purchase, organise and maintain all Active Club equipment.
Update all relevant booking systems with Active Club information.
Ensure compliance for all Clubs Operations with all relevant governing bodies such as Ofsted and HSE.
Staff Management
Prepare a staff rota for Active Clubs each term to ensure the correct ratios of staff to children are maintained and liaise with staff regularly regarding shifts allocated
Be on call outside working hours to take calls from staff who are unable to work for any reason and to arrange staff cover as necessary
Assist the HR team in the recruitment of Active Club staff as necessary, including interviewing and inducting new staff
Ensure all Active Club staff receive regular reviews and formal feedback
Conduct staff disciplinary actions for Active Club staff when necessary
Coordinate with HR Team to ensure an accurate record of working hours for the purposes of payroll and logistics.
Operational
Oversee the running of Active Clubs and ensure a high quality of service, including the compliance with legislative requirements and company policies.
Work as a member of the Active Club teams, as Club Manager or Activity Leader when necessary
Create, distribute, collect and check all paperwork required for the delivery of Active Clubs
Coordinate with schools and business partners where needed to ensure the smooth running of all programmes
Regularly review Active Club programmes and make changes/improvements based on feedback given all involved
With support from Operations Managers conduct quality control visits of Breakfast, Afterschool and Holiday Clubs, producing a feedback report including suggestions for improvement.
Take bookings over the phone and via email and work closely with Finance Manager to ensure all bookings are correctly made and paid on time
Marketing
Work with the Operations Manager and Marketing Manager create and execute a marketing strategy for Active Clubs
Other
Support the head office team in answering main phone lines and answering queries
Work within company policies and procedures at all times
As necessary support colleagues during seasonal times where workloads fluctuate.
Undertake all duties within an Equal Opportunities framework

PERSON SPECIFICATION
Experience of working with children and leading childrens activities
Experience of supervising staff and confidence to take on a key leading role
A good team player, but able to use initiative and work independently
A quick learner with excellent organisational and communication skills
Good IT skills across all Microsoft products.
Enthusiastic personality with a practical and optimistic outlook.
Responsible and mature attitude
Driving licence and own transport essential
