Title: Maintenance Contract Co-ordinator (Maternity Cover)

Salary: £28,000 per annum
We are looking for a maintenance co-ordinator that will work well with an existing maintenance team and clients. You will be liaising closely with the Gym Maintenance Manager, Pool and Spa Maintenance Manager, and Maintenance Director to provide excellent customer service to our clients. You will create new and renewal contracts and send them to new and existing clients. You will also assist the Pool and Spa Maintenance Manager in organizing purchase orders, dealing with suppliers, and filing job sheets. Additionally, you will provide monthly figure updates to the Director regarding contracted income versus targets.
The role:
1. Creation and sending out new and renewal contracts for gym maintenance, pool and spa maintenance, and inductions.
2. Ensuring contracts are sent in the required time period.
3. Ensuring all contracts are renewed before the expiry date.
4. Making sure the customer has provided a PO and/or signed the contract so invoicing is possible.
5. Invoicing all contracts.
6. Constantly reviewing the contracts process and offering better efficiency solutions.
7. Keeping all documents up to date and filed in correct folders.
8. Collating information needed for financial forecasting for the department.
9. Liaising with the maintenance co-ordinator manager to receive the gym maintenance schedule.
10. Booking gym maintenance visits with sites that require them.
11. Weekly updates (Mondays – from week before) to client portal folders with job sheets, test results (micro’s), and contracts.
12. Updating the pool and spa order tracker when requested.
13. Invoicing all completed jobs and chemicals.
14. Updating the PPM Schedule on the master and client portal.
15. Raising POs and invoices when required.
16. Organizing the onboarding process for each new client and offboarding.
Requirements:
* High level of customer service skills.
* High level of organizational skills.
* Previous experience in a similar role.
Desirable attributes:
* Previous experience with Xero accounting software.
* Previous experience in an administrative role.
