Job summary
An opportunity has arisen for an individual with excellent communication and customer care skills wishing to work in a well-established, friendly and supportive practice.
We are looking for an enthusiastic and motivated candidate to join our team working 32.5 hours per week. General Practice experience is preferable but not essential.
The post holder will be responsible for the day-to-day supervision and management of the reception team, ensuring practice standards for patient-facing and administrative tasks are completed to accepted standards.
They will work collaboratively with the general practice team—including GP partners, Practice Manager, Deputy Practice Manager, and Nurse Manager—to meet patient needs, ensure practice policies and procedures are followed, and maintain compliance with CQC Essential Standards of Care.
The post holder will also be responsible for the health, safety, and wellbeing of reception staff, as well as patients in the waiting room and reception areas.
While the hours are set, flexibility is required to meet the changing needs of the reception team, including cover during annual leave and sickness.
Main duties of the job
1. Oversee the reception team in line with practice HR policies, protocols, and service standards.
2. Manage and record holiday absences for all reception staff and organise appropriate holiday cover.
3. Authorize and arrange staff overtime to cover staffing gaps and increased workload.
4. Undertake annual staff appraisals to review development objectives and performance.
5. Coordinate reception duties and weekly staff rotas to ensure effective service delivery, stepping in to cover as needed.
6. Ensure efficient functioning of existing reception and administrative systems, monitoring and suggesting improvements.
7. Support and guide the reception team, other practice staff, and visitors on patient service issues.
8. Keep reception workflows up to date and ensure correct and timely processing.
9. Follow procedures for new patient registration, review, and suggest system improvements.
10. Manage external room bookings and update the room rota diary.
