An exciting opportunity to join a well-established and highly regarded London-based international membership organisation. Reporting to the Head of Training and Events, you will be responsible for supporting the delivery of an international portfolio of events and training courses, delivered both in-person and online. With a growing need for digital training opportunities, you will have high levels of IT literacy, as well as being highly organised, a good team player, confident & adaptable to the diverse needs of a global events programme and small organisation.
Gafta runs anywhere between 20 – 40 training courses, committee meetings, networking and other events throughout the year. Most events are smaller, with numbers between 15 – 45, however a few are larger, including the Annual Dinner which attracts 450 – 500 each year. The ideal candidate will be adept at ‘plate spinning’, a great communicator and bring ideas for streamlining processes to the table.
Reporting to: Head of Training and Events
Working hours: Full time, in-office role, Monday – Friday, 0900 – 1700. Generally core office hours are fixed, but there may be some flexibility on negotiation. Opportunity to work 1 x day from home after the probationary period (6 months) has passed. The role will involve occasional evening/weekend work and international travel.
The ideal candidate will have:
* Experience of working within the events and training sector
* High levels of IT literacy – over 50% of this role involves administration on Agribility – Gafta’s online learning platform
* Strong organisational skills and attention to detail, with the ability to manage multiple priorities
* Excellent communication and interpersonal skills, with a customer-focused approach
* Willingness to travel including some evening/weekend work
* Experience of working with Learning Management Systems is highly desirable
* Experience of working in a membership organisation is highly desirable
* Knowledge of e-learning standards such as SCORM and experience with content creation tools
* An understanding of agricultural commodity trading
Key Responsibilities:
* Coordinate internal committee meeting logistics, including:
o Booking venues and restaurants
o Coordinate and collate attendance and dietary requirements
* Administer all Agribility student registrations and enrolments, including:
o DLP
o Face-to-face students
o Approved Registers online learning
o Online short courses
o Content hosting clients
* Coordinate student administration, including:
o Sending joining instructions, confirmations etc
o Chase unpaid student registrations and taking payments
o Raise invoices for sponsorship, registrations, other events-related tasks
o Assist with student queries
o Collate course feedback and evaluations for review
* Assist in maintaining the Agribility platform, including:
o Set up all DLP modules on Agribility ready for each semester
o Ensuring course content is regularly updated
o Troubleshoot basic technical issues for learners and escalate more complex problems to the Digital Programmes Manager
o Mark course exams and issue results
* Coordinate Distance Learning Programme (DLP) timetable with tutors
* Create and coordinate all materials and digital space for face-to-face events, including:
o Prepare slides for all internal and external presentations, including training, events and conferences
o Create online hubs for face-to-face training on Agribility
o Printing and packing collateral such as badges, tent cards, exam papers, feedback forms and marketing materials
* Schedule and support the administration of Gafta’s professional exams, including the Trade Diploma and Arbitrator Diploma, including:
o Communicate with learners to confirm registrations and ensure exam resources are prepared.
o Handle related administrative tasks such as sending reminders, maintaining records, and assisting with exam logistics
* Attend Gafta events as admin support
* Work with Marketing to keep track of and order merchandise and materials inventory
