Key Structures specialise in the provision of Premium Marquees to the event industry, corporate and public sectors. Established in 2008 and based in Wimbledon, we are an accredited supplier of temporary structures to London and the surrounding areas.
We provide solutions to private events, awards dinners, launch parties, live events, festivals, and sporting events. We also have contracts to supply various government bodies, elaborate event venues, and high-profile historical buildings.
This is an office-based role Mon – Fri (4 days a week, 6 hours per day).
Reporting to the Managing Director and Financial Director, the right candidate will play a key role in ensuring the smooth running of the office and financial administration.
The role will involve:
* Processing payments, invoices, income, and receipts and entering data into Xero.
* Chasing outstanding invoices alongside the sales managers.
* Setting up and managing all payments on the bank.
* Reconciling bank with Xero.
* Recording any inconsistencies and reporting these to the finance director.
* Approving full-time staffing hours and submitting additional supplement information for payroll.
* Preparing and processing workforce payroll and NEST pension contributions bi-weekly and monthly.
* Managing employee credit card expenses.
* First point of contact for the business, dealing with correspondence & queries.
* Implementing and maintaining procedures/office administrative systems.
* Organising induction programs for new employees including new user IT setup.
* Assisting the managing director with administrative duties.
* Assisting the organisation's HR function by keeping personnel records up to date, including placing adverts and updating documentation.
* Keeping the office tidy and managing the office cleaner.
* Managing and organising documents on our SharePoint system.
* Coordinating the office annual leave and updating employee sickness records.
* Managing Health and Safety in the office.
* Designated Fire Warden responsible for supporting ongoing management of fire safety.
* Appointed First Aider in charge of our first aid arrangements.
* Building management, including Fire, CCTV, Alarm, and gate systems.
* Assisting with the workforce recruitment process (posting jobs, telephone screening, booking interviews, and processing documentation/onboarding).
Requirements and Attributes:
* Proactive attitude to learning new skills and processes.
* Good attention to detail.
* Proficient in the use of Microsoft Office.
* Excellent command of the English language both written and verbal.
* Prior knowledge of Xero or similar accounting software essential.
* Knowledge and interest in the Events Industry desirable, but not essential.
