Assistant Purchasing Coordinator
We are recruiting for an Assistant Purchasing Coordinator to join our Shenstone based client. The business specializes in the design and production of innovative vehicle safety and security products. Their products range from cameras and digital video recorders through to reverse parking solutions and their customers range from individuals and small businesses through to extensive fleet work. They are a rapidly growing business and are looking to extend their dedicated and focused team.
In this role, you will support the procurement team in managing the purchasing process, maintaining supplier relationships, and ensuring the timely delivery of goods and services. The role involves coordinating with internal departments, maintaining accurate records, and assisting with inventory management to support operational efficiency.
As an Assistant Purchasing Coordinator, you will need to have/be:
1. Previous experience in procurement, purchasing, or supply chain roles is a plus.
2. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with procurement software.
3. Strong organizational skills and attention to detail.
4. Excellent communication and interpersonal skills to liaise effectively with suppliers and internal teams.
5. Ability to multitask, prioritize tasks, and meet deadlines in a fast-paced environment.
6. Analytical mindset with the ability to resolve issues and identify process improvements.

Role of Assistant Purchasing Coordinator:
1. Assist the Purchasing Manager in sourcing and procuring goods and services from approved suppliers.
2. Prepare and issue purchase orders (POs) while ensuring compliance with company policies and procedures.
3. Track and monitor open purchase orders to ensure timely delivery and address any delays or discrepancies.
4. Communicate with suppliers to clarify order requirements, resolve issues, and maintain strong relationships.
5. Assist in evaluating supplier performance by gathering data on delivery times, product quality, and service levels.
6. Support inventory management by monitoring stock levels and suggesting restocking actions as needed.
7. Ensure accuracy of purchase order details, including quantities, prices, and delivery dates.
8. Collaborate with internal departments to understand their procurement needs and provide support as required.
9. Maintain and update purchasing records and documentation in the procurement system.
10. Assist in reconciling supplier invoices and resolving any billing discrepancies in coordination with the finance team.
11. Adhere to and promote compliance with company policies, ethical standards, and relevant regulations.
12. Assist with Import and Export documentation and processes.
13. Identify any significant changes in demand including monitoring aged, non-moving and obsolete stock.
14. Completing the receipt of goods process including conducting counts and entering the receipt onto the system.
15. Assisting with returned and faulty items, compiling a catalogue of items and arranging returns/credits with suppliers.
Supporting Stores and Warehouse Support:
1. Assist in checking physical stock levels and ensure that products are organized and accessible within the store.
2. Participate in the packing, picking, and dispatching of goods to meet delivery schedules and client requirements.
3. Work alongside the warehouse team to support the efficient movement and storage of inventory.
4. Conduct regular stock counts and assist in identifying discrepancies between physical stock and system records.
