Your role in elevating the East Midlands
The Executive Support Officer to the Mayor is a high-profile role within EMCCA and your key focus will be to ensure the mayor is fully supported by robust organisational and administrative processes, including diary management and some basic procurement requirements.
You will be the first point of contact for many across the organisation engaging with the mayor, so your tact, diplomacy and political nous will all be tested, as will your organisational skills. You will also work closely with the Chief of Staff as we build up further support for the mayor’s office.
Key responsibilities include:
* Managing the daily running of the mayor’s office, including undertaking a wide range of administrative and clerical tasks and providing efficient support for the mayor.
* Management of the mayor’s diary and ensuring the mayor is fully briefed and prepared for each appointment.
* As the first point of contact, screen telephone calls and post, deal with email and internet communications, responding where appropriate on behalf of the mayor.
* Communicating with a wide range of people inside and outside the organisation, including dealing with politically sensitive, complex and contentious issues.
* Managing petty cash and expenditure, ensuring all outgoing and incoming revenue is meticulously recorded and reported.
* Coordination of various events including research into travel and accommodation.
Your profile:
* Ideally, previous experience of providing executive support to a mayoral office or senior executive team within a similar organisation.
* Experience of using highly developed IT skills and knowledge of Microsoft Office, particularly Word, PowerPoint, Outlook and spreadsheets.
* Able to take and produce accurate minutes in a timely manner.
* NVQ level 4 or equivalent Business Administration qualification and/or experience.
* A problem solver, with strong analytical and information skills, able to break down tasks and plan effectively.
* Excellent communication skills, both orally and in writing, and the ability to establish and maintain constructive and open relationships with a wide range of people.
* Flexible and able to adapt to the challenges of working in a rapidly developing organisation.
* Assertive and independent in thought and action, but able to operate tactfully and with political understanding.
