The Bid Co-Ordinator will actively work on invitations to tender and development bids through the production of high quality PQQ's, ITT submissions and bid documents that are tailored to suit the specific requirements of the enquiry. The role must also meet the administrative requirements of the Preconstruction Department.
Responsibilities:
1. Receipt of leads, PQQs, ITTs, TQ's from portals, emails, document sharing platforms etc.
2. Maintaining file structures, hard and soft copies of documents, completion of KCSL tender document register and liaising with the client's project team to ensure correct and timely receipt of required information.
3. Client and Project Research.
4. Recording the exchange of information and document control.
5. Logging all PQQs, ITTs and TQ's.
6. Initial review of PQQs and ITTs to understand next actions to be taken and ensure correct distribution.
7. Management of tender process.
8. Coordination and completion of PQQs and tender submissions including all supporting evidence.
9. Maintaining PQQ and tender 'library' for the Company.
10. Management of the NDA procedure on behalf of the Commercial Director and the Board of Directors.
11. Collation of tender submissions and client feedback.
12. Ensuring efficient coordination between Pre-Con, FP, CC, Business Development & Marketing departments to ensure deadlines are met.
13. Preparing internal meetings, taking minutes, and assigning actions.
14. Adding and controlling Tender documentation on BIM 360 Docs or similar tender documentation.
15. Proof reading documents for readability, grammar and spelling errors, and suitability in having answered tender questions.
16. Liaising with projects and Engineering Hub to gain feedback and information that could improve the preconstruction department.
17. Assist Preconstruction Director in developing and maintaining work winning procedures.
18. Management of bid process.
Requirements:
1. Degree Qualified/ Relevant experience
2. IT Literate in Microsoft Word, PowerPoint, Excel and Outlook
