Overview
The Division of Facial Plastic Surgery and Aesthetic MedSpa is located near the Sentara Leigh Hospital in a brand new office on the border of Virginia Beach and Norfolk.
This role is being established to assist with providing excellent customer service while answering a high volume of telephone calls, redirecting calls to appropriate physicians or staff, scheduling patient appointments, reviewing and building patient demographic information in the practice management system, and scanning records into the electronic medical record. Under direction, the role will also perform other administrative tasks as needed and become knowledgeable in various aspects of Aesthetic care to assist walk-in patients with product purchases.
The Division consists of three Facial Plastic Surgeons and an Esthetician. The role will be accountable to the Nurse Manager for the Division and work collaboratively with all faculty members and team members.
Responsibilities
1. Answer telephones.
2. Triage & direct phone calls to appropriate individuals or areas.
3. Enter patient information into IDX system.
4. Schedule appointments.
5. Ensure appropriate referrals are in place for each Date of Service.
6. Verify insurance information.
7. Follow up with referring physician and/or patient if referral is required.
8. Forward messages to physicians and staff in Allscripts.
9. Schedule surgeries for assigned doctor in a timely manner, including obtaining all required authorizations.
10. Perform other duties as assigned, according to individual departmental needs.
Qualifications
Candidate must possess excellent written and verbal communication skills. Experience performing related functions in a medical practice is preferred. Previous front desk customer service experience will be considered. A professional, customer service-oriented individual is required.
