Overview:
The Apprenticeships Department oversees a range of apprenticeships at Reaseheath College, from Level 2 (intermediate) through to Level 5 (degree) in courses from Agriculture through to Food Technologist, or Rail Engineering.
About the role:
Our Apprenticeship Department has an exciting opportunity for a proactive and organised Apprenticeship Records Administrator. This role will be offered on a 2-year Apprenticeship. The purpose of the role is to audit, process and accurately record apprenticeship records onto the learn management system to ensure all apprentices have access to the right support to be successful during their time at Reaseheath College. This will be carried out with the support and supervision from the Apprenticeship Administration Manager and the Apprenticeship Administration team. Key responsibilities:
* Audit documentation and on-board, update, complete and withdraw apprenticeship records on the database to meet compliance regulations
* Ensure apprentices have access to relevant college or/and external databases and other resources to successfully complete their apprenticeship
* Work with internal and external stakeholders, communicating clear and accurate information
* Raise employer invoices and payment employer incentives in an accurate and timely manner
* Support and link employers with Digital Apprenticeship Service (DAS) accounts to learner management records

Course contents
* Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
* Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
* Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
* Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
* Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Your training plan
The candidate will follow a Level 3 Apprenticeship programme and study towards a full Standard as a Business Administrator. This training will be structured and delivered by Cheshire College – South & West.
If you do not already hold GCSEs at grade A-D / 8-4 in English and maths you may need to complete Functional Skills in the related subjects to attain Level 2 Functional Skills.
