Thomas Sherriff & Co Ltd are suppliers of farm machinery and turf equipment throughout the Lothians, Scottish Borders, and Northumberland. They have 8 outlets in this area with circa 140 employees.
Description
The Outlet Administrator is the first point of contact for customers and general enquiries, assisting or directing them appropriately. Responsible for ensuring the smooth operation of the office's administrative functions, with a focus on financial administration. A team player who communicates effectively with colleagues in Parts, Service, and Sales.
This role is based at our Jedburgh Outlet, part-time working Monday, Wednesday, and Friday. Full-time may be considered for the right candidate. This is a fixed-term contract for 1 year.
Key Responsibilities and Duties
* Greeting visitors warmly; answering and directing phone calls promptly.
* Supporting the outlet with customer, supplier, parts, service, and sales queries.
* Assisting with billing, preparing and sending invoices, maintaining client databases, tracking accounts, and managing the invoice workflow, including debt collection.
* Processing purchase invoices onto the ledger.
* Following up on overdue debts.
* Submitting warranty claims.
* Managing and reconciling petty cash.
* Processing daily customer payments via cash or card.
* Tracking and submitting technicians' hours for payroll.
* Reporting on the delivery and service of whole goods.
* Performing administrative duties such as generating company communications and handling incoming mail.
* Performing other duties as required.
Skills and Experience
* Excellent written and verbal communication skills.
* Strong time-management and multi-tasking abilities.
* Proficient in Microsoft Office and quick to learn new systems.
* Strong interpersonal skills; ability to build relationships with colleagues and customers.
