Essential Functions of the Office Manager (AAI):
* Provide administrative support to the York Director and the Central Vice President by tracking all office financials (utilities, lease agreements, rent, Amazon and Office Basics, etc.) for the Central offices and documenting weekly L10 meetings for the Director and Vice President. This also includes attending and documenting non-VYH meetings as needed by the Director and Vice President.
* Ensure the timely & accurate completion of all required paperwork (including documentation requirements) per the Office Manager Responsibilities document. Preparing and maintaining employee clearances for audit reports. This includes maintaining the staff trackers for the Central Region.
* Assist the Central Vice President with Central Board communications, meeting minutes, and meeting coordination, as well as meeting tech support. Ensuring a welcoming and supportive presence with the board.
* Represent Valley Youth House in a professional manner at all times. The Office Manager and the Administrative Assistant team is the face of Valley Youth House and the first interaction most clients and stakeholders have with our agency.
* Provide direct supervision and oversight to the Housing/School-Based Administrative Assistant. The Office Manager will provide regional guidance and training to the Administrative Assistant teams to ensure a uniform approach that meets the Mission and Values of VYH. They will assist in the hiring process for all new administrative assistants.
Minimal Qualifications for the Office Manager (AAI):
* A High School Diploma with at least 3 years of experience as a secretary, administrative assistant, office manager, or other relatable experience.
* Proficiency in using Google Workspace and managing virtual meeting spaces such as Zoom and Google Meets.
* A valid driver's license, a motor vehicle report that meets agency requirements, and reliable transportation.
* Ability to work the defined schedule that includes in-person work in the job description.
Preferred Qualifications:
* Two to three years of experience working or volunteering with nonprofits.
* Three years or more of experience managing an office and/or oversight of a team.
* Knowledge of EHR systems and/or HMIS systems.
* Training and/or volunteer work with/on Boards.
* Experience managing a professional Facebook page and familiarity with writing copy while adhering to brand guidelines.
Physical Requirements for the Office Manager (AAI):
* Sedentary work that primarily involves sitting/standing. X Constantly.
