Job Summary
We are looking for a highly motivated and enthusiastic Clinical Services Administrator to join our North Somerset CAMHS/LD admin team.
Applicants should be effective communicators, as the role will involve referrals, liaising with nurses, medics, GPs, service users, their families, and advocates. You should have excellent administration and organisational skills, possess a good working knowledge of all Microsoft Office systems, and be willing to undertake training in order to use other software packages, including our electronic patient record system, IAPTUS.
You will be working as part of a busy administrative team within the Service and will need to be able to prioritise and organise your own workload, as well as sharing admin work streams, to ensure effective and efficient support to the clinical teams. The role is varied and requires the successful candidates to be able to adapt to constant changes in workload to meet demand and deadlines.

Main Duties of the Job
As one of the administrators in a busy team, you will need to have excellent communication skills and a wide range of administrative skills.
The role will involve routine and non-routine tasks, including:
1. Telephone call handling
2. Communication with a wide range of people, including service users, carers, GPs, and other clinical staff
3. Typing patient-related correspondence/emails
4. Inputting accurate and up-to-date patient data on the electronic patient system
5. Arranging, attending, and taking minutes of meetings
6. Creating and sending client letters on behalf of medics
There are a wide range of electronic systems used with AWP, so an aptitude for processes would be an advantage.

Job Responsibilities
To provide comprehensive administration and secretarial support to multidisciplinary teams or departments. This will include being the first point of contact for that team or department and could involve duties such as meeting and greeting visitors, receiving initial enquiries, and directing telephone calls. There will also be an expectation to cover reception, which is currently at Drove Road Children's Centre and The Barn, Clevedon.
There will be an expectation for the post holder to be highly motivated, flexible, and multi-skilled with excellent organisational skills. They will possess excellent working knowledge of all Microsoft Office systems, including Word and Excel.
The post holder will be able to work to high standards and will be required to take personal details from people and upload them onto the electronic patient record system (IAPTUS). The post holder will need to meet deadlines, collate data, and maintain standards relating to administrative processes. They will need to be able to work effectively within a team and share work streams where appropriate.
There may be a requirement to provide supervision to support administrators or apprentice posts.
The post holder will be key in maintaining diaries, arranging meetings, taking formal minutes, and keeping appropriate records on the most up-to-date templates. Their work is managed rather than supervised, and they are accountable for their own actions. A manager is available for reference, but generally, they will manage their own workload.
