The role of the Receptionist/Administrator is to provide reception services and administrative support to staff within the Outpatients Department. The role will be mainly based at 3 of our sites; Elizabeth House in Warlingham Green, Oxted Health Centre in Oxted and Holmhurst Medical Centre in Redhill, with occasional travel to our other locations. The Receptionist/Administrator will undertake tasks essential to the smooth, effective provision of quality care and efficient level of service for patients and their families. This will include covering the reception at DHC for some evenings and weekends on a rota basis. It is essential that the post holder exercises initiative and judgement whilst always maintaining a high level of confidentiality and diplomacy without immediate access to line supervision. Key Responsibilities: Act as the first point of contact for clinicians, staff, patients, carers and non-clinical service providers utilising and visiting the hospital Respond appropriately to contentious, sensitive and difficult enquiries to ensure a satisfactory conclusion Answer incoming calls and emails, as well as deal with requests for information effectively Book and reschedule patient appointments via telephone, SMS and letters Reschedule appointments and clinics when requested and by the deadlines specified, using the computerised system Maintain and update records as appropriate Receive and dispatch mail promptly Ensure appropriate handover of information relating to reception/ administrative work Attend regular meetings within DHC and where necessary to maintain and keep up to date with working procedures
