Elm Tree Surgery is a rapidly expanding five Partner practice in purposely refurbished premises in Thornaby with a patient list size of approx 9000. We are a forward looking and innovative teaching practice, providing more than just General Medical Services. We are a high achieving QOF practice and have a Good CQC rating. We believe in investing in people and have seen many members of staff go through various training courses to enhance their learning and the service offered to our patients. We have a clinical team of 5 GP Partners, 2 Salaried GPs, 2 Nurse Practitioners and a team of Practice Nurses, a HCA, and a Phlebotomist. The clinical team are supported by admin and reception. The practice provides a supportive and friendly environment with a focus on a tightly knit team that can rely on each other. Roles and responsibilities:
1. Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
2. Mark patients and visitors as arrived on the electronic appointment system.
3. Deal with all general enquiries regarding medical advice request/medication queries and relay these to the doctor.
4. Explain procedures and make new and follow-up appointments.
5. Receive and make telephone calls as required.
6. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
7. Enter patient information onto the computer as required, ensuring that this is entered onto the correct patient. The information must be relevant and accurate.
8. Enter requests for home visits ensuring careful recording of all relevant details and pass these on to the doctor within the appropriate timescale.
9. Take repeat prescription requests.
10. Post–opening and direct to GP.
11. Scanning patient documents into the patient's electronic health record.
12. Using your own judgment and communication skills; ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner.
13. Explain practice arrangements and formal requirements to new patients and those seeking temporary care and ensure procedures are completed.
14. Constructing patient records.
15. Collating patient medical records received from the Health Authority into patients’ practice notes.
16. Filing and retrieving patient correspondence and records.
17. Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to.
18. Ensure correspondence, reports, results etc are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen.
19. Ensure records are kept in good repair with all necessary information on the outside cover clearly visible.
These are only some of the duties that will be expected in this position; other tasks will be expected as the apprentice is trained.
Minimum Requirements:
1. Level 3 Business Administrator at Stockton Riverside College.
2. Functional Skills maths & English, if required.
Monday to Friday, times to be confirmed. The practice opening times are 8.00am - 6.00pm, there is a paid 20 minute break if you work a six hour shift (or age related as per statutory requirements). Shifts allocated once recruited.
