Job Summary
This role can either be based out of our Maidstone or Lincoln offices. Hybrid working - 3 days in the office, 2 days from home.
We are seeking a proficient and methodical Project Coordinator to support our Project Managers in delivering projects to our high company standards. As a key member of the team, you will be responsible for providing robust administrative and coordination support across various revenue streams.
Key Responsibilities:
Project Delivery:
1. Assist Project Manager/s in setting up project structures using PMO project methodology and maintain them throughout the project lifecycle.
2. Collaborate with other business functions to organise and allocate resources efficiently.
3. Ensure adherence to all project-related processes, maintain internal systems data, and track costs effectively.
4. Engage confidently with customers via phone/video conference, addressing inquiries and resolving issues promptly.
5. Provide administrative and coordination support across multiple projects as needed.
6. Support the wider project team in day-to-day duties to achieve project targets.
7. Proactively manage personal development to enhance performance levels and explore career development opportunities.
8. Liaise with 3rd party logistic companies as required.
9. Handle incoming and outgoing emails efficiently.
10. Create and manage spreadsheets to organise project data.
11. Compile comprehensive reports to track project progress.
12. Schedule meetings, take detailed meeting notes, and follow up on action items.
13. Communicate with customers and clients to address queries and resolve issues effectively.
14. Produce accurate, reliable, and timely reports as required.
Experience and Skills Required
Education and Qualifications:
1. A ‘foundation’ Project management certification e.g. PMP, APMP, APMPQ, CPM, Prince 2 or equivalent preferred.
Key Competencies:
1. Experience of completing project administration/coordination tasks.
2. Demonstrable knowledge of MS Office systems.
3. Microsoft Excel skills highly desirable, full training will be provided for suitable applicants.
* Formatting - basic formatting capability and data validation, table/chart creation and editing, and conditional formatting.
* Formulas - SUM, COUNT, COUNTIF, SUMIF, VLOOKUP etc.
