Job Summary: The Office Manager will play a key role in maintaining smooth office operations, supporting project teams, and ensuring the overall efficiency of the business. The ideal candidate will have a good understanding of the construction industry, especially in highways, rail, and civil engineering, as well as experience with estimating and Excel. Key Responsibilities: Office Administration: Oversee all office operations to ensure a smooth and efficient working environment. Manage office supplies, equipment, and facilities, ensuring everything is well-maintained and operational. Liaise with suppliers, contractors, and external stakeholders to coordinate office needs. Financial Administration: Assist with estimating and pricing for projects, ensuring accurate calculations and cost management. Support with invoicing, purchase orders, and maintaining financial records for ongoing projects. Prepare financial reports and documentation to assist with project and budget management. Project Support: Assist with the scheduling and coordination of project timelines, ensuring deadlines are met for highway, rail, and civil engineering projects. Track project progress, liaising with site teams, subcontractors, and project managers to ensure project milestones are achieved. Prepare project reports and communicate progress updates to senior management and clients. Health & Safety Compliance: Ensure health and safety standards are adhered to within the office and on-site, in compliance with relevant regulations. Assist with preparing risk assessments, method statements, and other compliance-related documentation. Team Support: Provide administrative support to senior management and project teams. Organise meetings, manage calendars, and assist with staff scheduling. Support with recruitment processes, new employee onboarding, and other HR-related tasks. Skills & Qualifications: Essential: Previous experience in an office management or administrative role within the construction industry, preferably in highways, rail, or civil engineering. Strong organisational skills and the ability to manage multiple tasks effectively. Proficiency in Microsoft Excel, including creating and managing spreadsheets for estimating, project tracking, and financial reporting. Excellent written and verbal communication skills. Ability to work efficiently under pressure and meet deadlines. A proactive and solutions-oriented mindset. Desirable: Knowledge of construction estimating software and tools commonly used in the highways, rail, and civil sectors. Experience with health and safety compliance in construction projects. Familiarity with project management tools and systems.
