Job Summary
An exciting opportunity has arisen for Team Administrator to work within the Strategy and Partnerships Teams across NHFT and LPT.
We are seeking an individual who is enthusiastic, compassionate, flexible and creative in their approach and can work alongside the team and the wider multi-disciplinary team to provide quality and effective administrative support.
The post-holder will be required to work as part of a team with Project Managers and team members.
Main duties of the job
1. To create, format and edit documents, including project plans and risk registers, from digital dictation, audio recordings, or written notes including service specific information and medical and legal terminology.
2. To ensure timely production of procurement or legal documents and following up action points from meetings in line with legislation and established timescales, in many cases timescales will be critical and management of workload and time will be required to ensure deadlines are met.
3. To book rooms or venues as appropriate for meetings being conscious and aware of special needs.
4. Maintain eRoster, ESR, training records, and supervision and appraisal records as required.
5. Participate in and administer audits and reports as required. This may include a rolling audit system, recording learning outcomes, populating reports, templates proposal, data collection tools on behalf of others.
6. To arrange and attend a range of meetings, sometimes at high level, as required, taking responsibility for issuing papers, taking minutes, sharing action points and following up within required timescales.
7. If required liaise with speakers and sponsors and invite delegates. This may also include liaison with external agencies such as Ministry of Justice, Parole Board, Mental Health Solicitors, schools and Social Services.
8. Meeting administration including agenda setting, minute taking and action log management.
