The Investment Administrator will provide administrative support to a team of Investment Managers to help them succeed in delivering a bespoke investment management service to their High Net Worth clients. This client-centric role will involve regular communication with private client individuals, directors, trustees, internal and external financial advisers and their support teams, lawyers, accountants, third-party product providers, and various teams within the company. Therefore, the role would be suited to someone with experience and confidence in communicating with a variety of people, both verbally and in writing.
RESPONSIBILITIES
1. Assist with the on-boarding process and facilitate the smooth opening of investment accounts for new and existing clients. This will include the preparation, distribution, review, and submission of account opening paperwork, ensuring that all mandatory details, forms, and anti-money laundering details are obtained.
2. Investment suitability and due diligence reviews for new and existing clients, including drafting suitability letters and ensuring investment managers have sufficient notice to arrange meetings.
3. Run reports, prepare presentations, and transaction summaries for Investment Managers and financial advisers.
4. Work with the Investment Managers to implement post-meeting actions.
5. Instruct and check static data updates.
6. Produce cost and charges illustrations.
7. Arrange payments to clients, advisers, and third parties with the responsibility of completing the verification of new accounts.
8. Prepare and obtain transfer paperwork and then work with the internal transfers teams to ensure transfers are carried out accurately within a reasonable timeframe.
9. Assist with deceased account administration process.
10. Distribute valuations, tax packs, and performance data.
11. Collate and distribute reports/summaries for third-party information requests.
12. Assist with the set-up of new financial adviser relationships and ensure all due diligence documents are completed.
13. Handle telephone queries from clients and third parties.
14. Keep all relevant individuals up to date on the progress and completion of tasks, particularly on-boarding, transfers, and payments.
15. Ensure all compliance procedures are being followed and keep on top of changes and requirements for the investment team.
You will have:
1. Previous financial services experience, ideally within an asset management function.
2. Private client experience is desirable along with a working knowledge of on-boarding procedures, third-party provider processes, and investment accounts.
3. Deliver levels of service expected by High Net Worth clients.
4. Strong communication and interpersonal skills (verbal and written).
5. Strong IT and MS Office skills: Word (intermediate level), Excel (intermediate level - basic formulas), PowerPoint (intermediate level), Outlook (advanced level).
