We are looking to appoint an experienced and dynamic Events Manager with a proven track record in client engagement and event management to join our exciting and friendly Conference and Events team.
Responsibilities:
* Planning multiple events simultaneously throughout the year over two venues
* Be first point of contact for all enquiries (conference, events, meeting bookings), handling these enquiries in a prompt and professional manner, ensuring accuracy and attention to detail
* Creating event proposals which fit client requirements and presenting proposals in a timely manner.
* Overseeing large complex event planning and execution, ensuring seamless coordination and delivery
* Managing client site visits and upsell venue where possible (extra meeting space, dinners etc)
* Creating contracts for client detailing specific requirements for event
* Developing an understanding of the client’s objectives and ensuring event delivery is aligned
* Producing and maintain a timeline for each event ensuring that the onsite events run accordingly considering change-overs
* Ensuring all relevant stakeholders/key teams are well briefed in relation to all event logistics and ensure that the delivery instructions are clear and do not affect or compromise other priorities
* Generating deposit invoices for event for payment before client arrives
* Organising 1-to-1 meetings with client in run up to event to prepare final details
* Obtaining final numbers by deadline and notify all departments
* Collecting wine, menu and any dietary requirements in timely manner for departments to order supplies/organise staff rotas
* Maintain a harmonious working relationship with internal and external vendors/suppliers. Co-ordinating any outside vendors/entertainment, including catering, photographers, music, performers, guest speakers etc
* Managing effective relationships with key personnel to ensure support for events/conferences throughout
* Building strong relationships with organisers and encourage regular visits to the facility
* Communicating with internal team on room set up, catering, cleaning, and AV requirements, knowing when to pass the event to the next team
* Using initiative and creative thinking to improve client event journey
* Overseeing events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organising external vendors
* Meet and greet client, making sure all meeting space is in correct order before their arrival
* Taking on feedback and client concerns and adjusting accordingly
* Closing off an account with final meeting with organiser, following up on any comments or improvements with Domestic Teams
* Evaluating event outcomes and implementing improvements for future events
* Providing accurate feedback on client experience and events (and appropriately sharing) as well as supporting other team members, where necessary
* Keeping forecast up to date for Head of Sales reporting
* Researching new social media channels and trends to keep college up to date
* With other team members, attend/exhibit at National and International Trade shows
