Are you looking to join a company you can progress within? Energist are seeking two Project Administrators who are organised and focused to join their business.
This role is essential in ensuring that our projects are seamlessly coordinated and the administration from post appointment to service delivery is completed on time.
This position requires a proactive and communicative individual who can handle multiple tasks, including CRM management, client liaison, and monitoring project progress. You ensure that all project-related activities are carried out efficiently, meeting SLAs, and enhancing the overall client experience.
Key Responsibilities:
1. Project Coordination Administration:
o Administer project coordination using CRM systems, ensuring that all project data is accurately maintained and updated.
o Set up all new orders that hit the "to start" pot, working alongside other administrators to ensure seamless project initiation.
o Ensure all new site orders receive a welcome email and have a "face page" set up to monitor Requests for Information (RFI) within the project.
o Upload and download documentation, renaming to the correct client renaming conventions, reporting on time spent on the task per client and project.
o Set up all admin for “PE” orders on our bespoke Photographic Evidence Application.
o Support on reporting for all “PE” orders to aid in accurate billing and invoicing.
2. Business development administration:
o Manage all administration for Low volume/Low Value orders. Set up contact, company, opportunity and quote information on our CRM system.
o Generate Quote from the CRM and send to the client in a timely manner. Chase the quote in appropriate time frames, utilising reminders within the CRM and Outlook to support your needs.
o Support with “one off” order administration for all testing orders by setting up relevant information on the CRM system.
o Support with any other order administration throughout the client journey, prioritising based off of client urgency and project requirements.
o Cross work with other departments to be cross skilled, and to help cross skill others.
3. RFI Monitoring & Updates:
o Monitor and update project "face pages" for RFIs, ensuring that all stakeholders have end-to-end visibility of RFI availability, facilitating efficient project assessment.
o Ensure all RFIs are tracked and updated in a timely manner to support project progress and transparency.
o Cross work within our Sharepoint system to upload, download, rename, file share, manage access for and monitor project progress within.
4. Client Communication:
o Serve as the main point of contact (POC) for clients, handling their project needs, providing updates, and chasing RFIs as necessary.
o Take calls on the technical line, handling simple queries related to project progress and sharing, and transferring calls to the appropriate assessor using the internal phone system (Horizon). When the assessor is unavailable, take messages and email the relevant details.
5. Technical Support & Query Management:
o Provide first-line support for technical queries related to project coordination, escalating more complex issues to the appropriate team members as needed.
6. Additional tasks:
o Champion best practice approach to CRM, admin, and client communication.
Qualifications:
* Previous experience in project administration, project coordination is ideal.
* Strong organisational skills with the ability to manage multiple tasks and priorities effectively.
* Excellent communication skills, both written and verbal, with the ability to liaise confidently with clients, partners, and internal teams.
* Proficiency in CRM systems, specifically Dynamics 365, and Microsoft Office Suite (Word, Excel, Outlook).
* Ability to work independently and as part of a team, with a proactive approach to problem-solving.
* Experience in negotiating and managing partner relationships is a plus.
