Job Title: Training and Education Co-ordinator
Reports To: Head of Human Resources
Role Overview
The postholder is required to provide administrative support across all aspects of training, working closely with the Head of HR and the Lead Partner for Training and Education. They will also provide support to the HR team and wider organisation with specific aspects of people management matters which could include onboarding, recruitment, maintaining employee records, absence management/recording, assisting with payroll processing and provision of a professional administrative service. The postholder will consistently demonstrate accurate written, verbal, and interpersonal communication skills and communicate with all colleagues in an effective and efficient manner. Additionally, the postholder will demonstrate excellent organisational and time management skills and prioritise own workload whilst continuously communicating with line manager to ensure daily, weekly, monthly, and key tasks are being progressed.
The postholder will respect and uphold strict confidentiality at all times.
Responsibilities
1. Provide assistance and administrative support on all aspects of training, including maintaining and overseeing training records.
2. Liaise with the Lead Partner for Training and Education on all clinical training and with the Head of HR on non-clinical training.
3. Co-ordinate training across the organisation with direction as required from the Lead Partner and Head of HR.
4. Assist with support for medical students and provide a point of contact.
5. Assist with the record keeping on all training matters including appraisals.
6. Administer the apprenticeship portal for the organisation.
7. Co-ordinate and deliver PLT events, liaising closely with the Lead Partner for Training and Education and COO.
8. Support with internal and external HR related matters or requests, requiring direction and guidance from the HR manager or Head of HR.
9. Be familiar with the HR system and maintain employees' records.
10. Ensure receipt of new joiner documentation, track, chase and prompt accordingly.
11. Undertake and progress relevant DBS/background checks when required.
12. Track and report to the wider HR team any delays, gaps or concerns.
13. Assist with the recruitment process including arranging interviews and facilities, drafting, and placing vacancy ads and communication with all relevant parties, e.g., recruiting manager/candidates.
14. Oversee onboarding including drafting offer letters and employment contracts when requested.
15. Issue New Starter packs and record accordingly.
16. Track induction and probationary review progress and provide line managers with prompts in the appropriate timescale.
17. Report delays to HR Manager and Head of HR.
18. Assist HR colleagues by providing note-taking in meetings, including capability, ill health & absence, investigatory and disciplinary hearings.
19. Draft and issue documentation and letters for all employee related matters.
20. Support and assist with ad-hoc HR projects.
21. Any other duties assigned by line manager and Head of HR.
