Role Overview:
As the Executive Assistant, based in London, you will serve as the trusted right hand to two senior partners, ensuring their professional lives run smoothly. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, discretion, and the ability to anticipate needs with the ability to work at pace managing numerous moving parts whilst ensuring nothing is missed. Key Responsibilities:
* Calendar Management: Coordinate complex schedules across multiple time zones, ensuring seamless meeting arrangements.
* Event Planning & Coordination: Assist in the planning, organization, and execution of corporate events, meetings, conferences, and special functions, ensuring all logistics run smoothly.
* Budget Oversight: Manage event budgets, track expenditures, and ensure cost-effective solutions while maintaining high-quality standards.
* Vendor & Stakeholder Liaison: Coordinate with vendors, venues, caterers, and other service providers, negotiating contracts and ensuring timely deliveries.
* Communication Management: Handle email correspondence, draft responses, and ensure timely follow-ups on behalf of the partners.
* Travel Coordination: Organize domestic and international travel, including flights, accommodation, visas, and itineraries.
* Meeting Preparation: Prepare agendas, take minutes, and distribute post-meeting action points.
* Project Support: Assist with high-priority projects, conducting research, creating presentations, and tracking progress.
* Office Administration: Handle expense reports, invoice processing, and other administrative tasks.
* Stakeholder Liaison: Act as the main point of contact for internal and external stakeholders on behalf of the partners.
* Problem-Solving: Anticipate issues and proactively identify solutions to support the partners in their roles.
Skills and Qualifications:
* Proven experience as an Executive Assistant, ideally supporting senior executives or partners.
* Strong organizational and time management skills with the ability to multitask effectively.
* Exceptional written and verbal communication skills.
* Tech-savvy with proficiency in Microsoft Office Suite, Google Workspace, and scheduling tools.
* Familiarity with basic Gen AI tools and an attitude of curiosity / experimentation about exploring the use of Gen AI to increase the efficiency and effectiveness of daily work
* Ability to maintain confidentiality and handle sensitive information with discretion.
* Proactive mindset with excellent problem-solving skills.
* Flexible, adaptable, and able to thrive in a fast-paced environment.
