Purpose of this role:
The primary focus of the Multi Services Assistant will be to support the Reprographics and the Office Services on a daily basis to ensure all tasks are completed within time frame specified.
You will add value by providing daily back-office services for our client and teams. Services include but are not limited to reprographics and mail services in both physical and digital environments, with support for services in hospitality, facilities, audio/visual, reception, and other Williams Lea service lines as needed. The ideal candidate will have experience in administration and document production, and be extremely computer savvy.
Key responsibilities :
1. Delivering an exceptional electronic and hard copy file management service
2. Return or add documents to existing client files
3. Work with the practice management system to log and record documents
4. Filing and file housekeeping
5. Understanding and processing of principle documents
6. Maintain all filing and work areas in a tidy and orderly manner
7. Collect file and documents from client areas and return files to shelves
8. Sort, scan, rename, distribute incoming mail to the dedicated centralised filing area
9. Maintain equipment to a good working order and troubleshoot problems, place service calls when needed
10. Follow all stock and consumable procedures. Replenish copiers with all consumables
11. Prioritise jobs and run them to meet customer requirements and deadlines
12. Provide photocopying, scanning, and printing as per customer instructions
13. Collect and complete any information required for billing or client charge back data
14. Ensure that job requests are tracked on system properly before beginning new request
15. Understand and comply with Floor support corporate standards. Constantly seek ways to improve operations and suggest and implement approved ideas
16. Binding final form documents
17. Extensive computer and data related tasks
18. Usage of internal and external portals/systems
19. Deal with any customer enquires in a prompt and efficient manner
20. Accept requests for Williams Lea work, notifying customers of estimated completion time as appropriate and in line with service level agreements
