We are currently looking for an experienced Business Support Officer to join our team to provide administrative support within Skills & Training and help support the delivery of an exciting new project funded by the UK Shared Prosperity Fund, called Pathways 2 Progression. The successful candidate will be required to contribute to the efficient and effective day to day operation of the Management Information System, Financial Support System and Administration function of Skills and Training and process and maintain Management Information and Finance data in line with contractual requirements and guidelines.
The main duties of the post include:
* Undertake quality assurance checks of data submitted by Training Advisors, to ensure accuracy and that they meet programme specifications/audit requirements.
* Input information onto data MIS systems in line with contractual requirements.
* Register learners for the appropriate awarding body in accordance with the relevant awarding body requirements.
* Track and monitor learner achievements, certifications and manage any re-sits required.
* Assist in the process for the receipt, processing and distribution of certificates and/or awards from the awarding bodies.
* Assist with the development and maintenance of an effective archiving system for the relevant MIS, Financial and Administrative information in line with contractual and legal requirements.
* In conjunction with the Finance and Monitoring Officer, undertake the efficient and effective operation of the purchase requisition, ordering and invoice/billing processing systems.
* Process training requests and liaise with tutors to plan and organise training requirements. Ensure tutors are provided with information on course attendees.
* Provide administrative support for centre training activities, including completing ID checks, setting up exams, invigilating exams and being responsible for distributing results.
* Maintain the efficient and effective operation of the charging system for internal and external transactions.
* Process invoices and update spreadsheets with all orders, invoices and salary costs.
* Be responsible for the efficient and effective operation of the weekly payroll for learners.
* Access Learner Registration Service, LRS, to ascertain or create a Unique Learner Number, ULN, for each new starter.
* Contribute to the development and review of appropriate MIS procedures and documentation in line with contractual requirements.
* Follow internal/external procedures for the submission of data to lead project teams against a set timetable, addressing validation errors where identified.
* Monitor and reconcile data and filter reports.
* Consult with colleagues to provide information in relation to queries from learners, parents and employers.
* Liaise with the Finance and Monitoring Officer to ensure all information is current and relevant in support of MIS, Finance and Administration.
* Prepare, maintain and issue MIS/Finance reports as required by the Service within agreed timescales.
* Develop and maintain master templates for all Administrative, Financial and MIS procedures undertaken within the Skills and Training.
* Ensure, where necessary, the appropriate cover for the duties of the clerical receptionist/administrator.
* Maintain and update websites and social media.
* Manage the generic S&T inboxes and forward queries to relevant team members.
You will have experience in/of:
* Minimum of 1 years’ experience of budgeting and financial analysis, income/expenditure recording, ledger maintenance and operating computer systems.
* The ability to audit and process financial information. To fully utilise spreadsheets to record, update information and data.
* Minimum of 1 years’ experience at dealing with enquiries both face to face and through virtual and written communication methods and delivering excellent Customer Service.
* Basic awareness of Health & Safety at work in an office environment.
* Knowledge of financial systems.
* Basic understanding of work based learning programmes, and the systems and processes in delivering courses to learners and qualifications.
Ideally you will:
* 4 GCSE’s grade A to C or above, including English Language and Mathematics, or a qualification of a comparable level (eg. Essential Skills Wales Communication Level 2, Essential Application of Number Skills Level 2).
* Appropriate professional qualification such as NVQ Level 3 in Business Administration or equivalent, or able to demonstrate competence through experience.
* An accounting qualification such as AAT or equivalent.
