About The Role
The Institute of Swimming are seeking an experienced Course Administrator to join the team on a full time fixed term basis (35 hours per week) for 9 - 12 months. The role will be based at our SportPark office in Loughborough but the successful candidate will have the ability to work from home and adopt a hybrid way of working. Where possible flexible working will be considered.
This is an exciting opportunity working within the Institute of Swimming as part of a busy Operations team. You will be responsible for providing excellent customer service, ensuring accurate and timely administration support in all aspects of the learner, tutor and customer experience, in line with the Institute of Swimming customer service standards.
Reporting to the Administration and Operations Leader, you will be responsible for:
Inputting data on all of the Institute of Swimming systems, following the standard operating procedures, to ensure that systems are accurate and up to date
Complete all general course administration, including but not limited to; quality checks on course documentation, ordering resources and sending confirmation emails
Following finance processes, including but not limited to: system vouchers, purchase orders, transfers and cancellations
Respond and resolve customer phone and email enquiries in a timely, courteous and accurate manner that exceeds their expectations
Advise and guide customers on the use of the online booking system ensuring customer satisfaction

About You
In order to be shortlisted for the next stage in the process you must demonstrate within your application how you meet the following essential criteria:
Proven experience in administration duties including but not limited to; telephone answering, emails, data input and document creation
Proven experience of providing excellent customer service to a variety of stakeholders and establishing relationships
Comprehensive IT skills including a thorough knowledge of Microsoft packages
Proven ability to act on own initiative and to work as part of a team
