Veterinary Receptionist - Maternity Cover
We are looking for a full-time receptionist to join our friendly practice in Carterton. The successful candidate will have experience in client care and a background in customer-facing roles, both in person and via telephone/email. Excellent literacy skills are required, and the candidate should be client-focused, proactive, and comfortable using initiative. Training will be provided on our systems and protocols. This is a fixed term contract for approximately 12 months to cover maternity leave.
You will be the first point of contact for clients, answering phone calls, welcoming visitors, and providing a professional, knowledgeable impression to promote the practice and build client confidence.
Key Responsibilities
* Greet all visitors professionally, courteously, and in a friendly manner at all times.
* Answer telephone calls promptly and professionally to handle client inquiries.
* Educate clients and provide excellent customer service in a professional, sympathetic manner.
* Convert inquiries into appointments to maintain pet healthcare.
* Organise the appointment diary efficiently to maximise client appointments.
* Record, pass on, and follow up on inquiries promptly.
* Add new client details to the system and update vaccine/contact information during visits or calls.
* Record any relevant information to support Vets during consultations.
* Ensure invoices are accurate and adjustments are made as needed.
* Ensure clients pay for services on the day of treatment.
* Follow up on appointment callbacks and missed appointments.
* Complete pre-op reminder calls and reschedule missed appointments.
* Actively promote Pet Healthcare Plans and pet insurance.
* Keep the reception area clean and organized for the next working day.
* Adhere to practice/reception policies to ensure high customer service levels.
* Pursue personal development through training and study.
* Contribute to marketing targets to support practice profitability.
* Ensure safety and report equipment issues according to Health & Safety regulations.
* Assist with stock orders and the biannual stock take.
* Manage booking, canceling, and changing appointments.
* Handle cash/card payments and manage insurance claims and installment queries.
* Manage cash exchanges and end-of-day banking procedures.
* Attend reception team meetings as needed.
* Dispense medications/prescriptions and maintain client/patient records.
* Check and process clinic emails.
* Liaise with charities regarding collection boxes.
* Complete necessary daily paperwork (lab reports, consent forms, vaccination paperwork).
* Keep client information and counter-sale products well-stocked and clean.
* Ensure puppy/new client packs are made and stocked.
* Maintain change in the till for the next working day.
* Control debts effectively and send debt letters when necessary.
* Organise and process incoming and outgoing post.
* Record and pass on all client messages legibly, including pet details.
* Prepare consent forms for next-day surgeries and reminders for booster/wormer/flea treatments.
* Send Pet Healthcare Plan/insurance paperwork and follow-up reminders.
* Complete any other duties as requested by Reception Manager, Vets, or Support Staff.
* Adhere to dress code regarding shoes, guidelines for jewellery/hair/nail varnish and wearing the uniform and name badge provided at all times.
Your Shift Pattern
9:30 AM - 6:30 PM, Monday to Friday, with a 1-hour unpaid lunch break.
