Position: Helpdesk Administrator Location: Essex Sector: Construction/Maintenance Role Overview Fantastic opportunity for a Helpdesk Admnistrator to join a well-respected Market Leading M&E Contractor, the client is seeking an experienced Helpdesk Administrator to join their expanding team. This role involves coordinating reactive and planned mechanical and electrical maintenance tasks, managing schedules, updating systems, and ensuring timely and accurate client communications and invoicing. The ideal candidate will have a strong background in a busy construction environment and excellent organizational skills. Key Responsibilities Coordination of Maintenance Tasks: Organize and prioritize reactive and planned electrical and mechanical maintenance requests. Allocate tasks to engineers and ensure adherence to schedules. Diary Management & Reports Manage and maintain engineer diaries, ensuring effective use of resources and timely completion of tasks. Updating job statuses, schedules, and engineer reports. Coins CAFM System Management: Update and maintain the Coins CAFM system. Paperwork Processing: Ensure timely and accurate processing of engineer paperwork, including work orders, reports, and certificates. Client Communication: Provide regular updates to clients on job progress, ensuring their needs and expectations are met. Accurately calculate costs for works undertaken and generate invoices promptly. Invoicing and Cost Management: Prepare and process invoices based on completed jobs, ensuring all costs are accounted for and approved. General Administration: Assist with general administrative tasks as required, ensuring smooth and efficient operation of the helpdesk. Qualifications & Skills Experience: Previous experience in a fast-paced construction or maintenance environment is essential. Technical Skills: Proficiency in using CAFM systems (Coins experience is highly desirable). Strong understanding of reactive and planned mechanical and electrical maintenance processes. Competent in MS Office, particularly Excel and Outlook. Organizational Skills: Excellent diary management and multitasking abilities. Strong attention to detail with a focus on accuracy and efficiency. Communication Skills: Clear and professional communication with clients, engineers, and colleagues.
