We are looking for an enthusiastic and organised Apprentice Administrator to support members of the PMOA Directorate Leadership team. You will need to have good communication skills and be able to demonstrate open, friendly and approachable behaviour. You would be required to demonstrate a good knowledge of Microsoft Office programmes including Outlook, Word and Excel. The post holder will be comfortable with IT and be keen to learn new software packages and processes. The post-holder will have the ability to be adaptable and to have a flexible approach to their work.
Once the apprenticeship has been successfully completed the position will be expected to provide an efficient and confidential high level administrative service supporting our Education, Development and Quality priorities and workstreams within Psychological Medicine and Older Adults (PMOA) Directorate.

Job Purpose:

Key Responsibilities:
Education & Development
Provide an administrative service supporting our Education and Development wiorkstreams to include, but not exclusively, the booking, setting up and organisation of educational and development programmes, workshops and conferences; managing a data base of training outcomes for evaluation purposes; producing documents for training purposes including leaflets, resource packs and advertising posters; provide basic statistical attendance data for monitoring of training events; providing admin support to the production of our annual training report; administration for our Education and Workforce Committee; Organise Professional Leads/Senior Nurses Away days, workshops, briefings and any other events.
Quality
Provide an administrative service supporting our PMOA quality priorities and workstreams to include, but not exclusively, setting up and servicing meetings and task & finish groups, providing admin support to the production and maintenance of reports and excel spreadsheets
Admin Provision
Provide an administrative service for our PMOA head of Nursing and any associated senior nursing general admin needs, Clinical Professional Leads (Psychology x2, Head of Therapies x1) to include, but not exclusively, servicing meetings including taking minutes, audio and copy typing, electronic filing, printing, photocopying, diary management as required, preparation of presentation material, telephone enquiries.
Organise and service Professional Leads/Senior Nurses Meetings to include, but not exclusively, booking, the taking of minutes, drawing together action trackers, drafting the agendas, booking speakers and the timely distribution of agendas and supporting papers. Co-ordinate any actions that arise from these meetings that our Professional Leads/Senior Nurses are responsible for. Ensuring that documents are filed electronically and accessible for retrieval.
Organise and provide administrative support internal and external meetings in accordance with known priorities and agreements.
General Duties
Develop and manage own administrative systems to ensure that they are effective and efficient and support the smooth running of the Professional Leads/Senior Nurses admin systems. Operate and maintain bring forward systems to ensure meeting papers and reminders are given to the Professional Leads/Senior Nurses. Booking taxis as necessary. To act as Fire Warden as necessary. To work co-operatively with Management Team admin providing cover as required
To be responsible for stock and non-stock procurement for the Management Team ensuring that stock levels of essential items are maintained and processing stock and non-stock requests in a timely manner following trust and NHS procurement guidelines.
Undertake other administrative tasks for the PMOA management team as directed including postal collection and distribution, placing and chasing Digital Services, E&F and domestic cleaning requests.
There will at times be a requirement to work at different sites to support meetings and education/development events
