Our Building Services division provides complete Facilities Management of properties throughout the UK, offering mechanical and electrical engineering support, cleaning, catering, and grounds maintenance on a planned and reactive basis, using technological solutions to manage our teams efficiently.
We are looking for a Project Administrator to join the team on our Kent County Council project based in West Malling, Kent.
The purpose of the role will be to take responsibility for the coordination and delivery of a business project, working closely alongside an Assistant Project Manager (APM).
What you'll do:
* Provide support for day-to-day management of the Project Small Works ensuring that all project documentation is filed online using Skanska’s CAFM/Concept, updated in a timely manner, and is readily available for use as required.
* Prepare for and attend various Project Management and contractual meetings providing administrative duties including but not limited to:
o Arranging quotations and contractor communications for site access and daily liaising with the APM/Project Managers (PM) and Consultants.
o Sending meeting invites for scheduled events.
o Preparing quotations for review and client approval within KPI timeframes.
o Scheduling, preparing, and formulating meeting agendas for the APM and participating in meetings with readily prepared information.
o Taking minutes and distributing them to attendees.
* Daily Duties, including but not limited to:
o Following up contractors for information, i.e., Quotations, RAMS, Invoices, etc.
o Updating project records and tracking sheets.
o Proactively liaising with Technical Staff, Supervisors, Managers, Sub Contractors, and Client Teams on site.
* A good understanding of the Microsoft Office Suite of software, Office 365, Teams, and SharePoint is essential.
* Good customer focus and telephone manner is essential along with the ability to work alone and as part of a team to meet deliverables.
* DBS (Enhanced) vetting is mandatory and will be arranged for the successful candidate.
Formal performance objectives will be agreed during the successful candidate’s induction period and will be reviewed periodically.
