The Position
The overall purpose of the Operations and Maintenance (O&M) Coordinator role is to assist with contractual and statutory compliance for a portfolio of O&M contracts, in accordance with company safety, quality and environmental systems. The key objectives are to help maximise the production from client assets, increase maintenance efficiency and achieve a high level of safety performance.
The ideal candidate will be from a coordination or administration background with some experience of maintenance procedures or operating assets. A high level of organisation and computer literacy is required to be successful in this role. This is a permanent role which is primarily home/office based near Exeter or based at Kings Langley, with occasional travel to operational sites and RES offices.
Key Accountabilities
The O&M Coordinator shall focus on the daily, weekly and monthly needs of the O&M service, supporting the regional O&M managers and other staff to deliver the service in a safe, compliant, professional, and cost effective manner.
The responsibilities of the O&M Coordinator include:
1. Responding to daily requests for support from the site technicians, prioritise any issues, and escalate as required.
2. Achieve and maintain Person status commensurate with training received, experience gained and in-line with individual job role requirements.
3. Monitoring compliance with maintenance schedules, ensure high quality of documentation of completed maintenance, identify upcoming maintenance tasks, highlight overdue items for attention, action low stock items.
4. Compiling summaries of maintenance work completed, collating photographs, and drafting relevant insights, for monthly client reporting.
5. Stock management and procurement of materials. Lead an improvement activity to increase the quality and efficiency of this task – to include supplier sourcing.
6. Ensuring client invoicing for any chargeable items (including spare parts) is carried out accurately and promptly.
7. Support technicians with skip/plant hire and waste disposal needs. Maintain records of all waste transfer notes where required.
8. Support the relevant person/team with equipment warranty claims.
9. Maintaining a Computerised Maintenance Management System (CMMS) and other quality management tools as necessary.
10. Provide administrative support for field technicians, including booking travel & accommodation.
11. Help organise team meetings and annual team events.
12. Third party contractor management.
13. Support monthly & annual reporting tasks.
14. Contributing and attendance to dept cost saving activities and other company initiatives.
15. Approval of Upkeep WOs.
16. Analysis of maintenance KPIs and highlighting trends and anomalies.
17. Supporting the monitoring and escalation of site performance within the relevant teams.
18. Partially deputising for the O&M manager.
19. Other duties commensurate with the role.
20. Supporting in stakeholder meetings/management (commercial).
21. Supporting daily monitor and fault escalation.
